A school, campus or association programme works best with a written coverage plan: which zones need photography at the same time, who names prize winners and speakers, and how photographs are shared. Send the approved programme, and we confirm date, travel and crew in writing.
Machang sits in the centre of Kelantan. Wikipedia lists a UiTM branch, a fully residential science school and many national and religious schools in the district, and notes that Federal Routes 4 and 8 meet in Machang. This page is for a committee turning a school, campus or association programme into a clear coverage plan.
See our Kelantan overview for state-level planning.
Which activities need photography at the same time?
Programmes often run several zones at once: a stage, a sports field, an exhibition and a prize presentation. List each one with its time and place. Where two overlap, mark which matters more.
Our concurrent activity and crew planner shows where one photographer reaches a limit. If both zones matter, ask us whether a second photographer can be included for your date. We confirm any addition in writing.
Who names the people in the photographs?
Captions go wrong when nobody knows the names. Choose a photo coordinator from your committee. This person gives the photographer the spelling and role of each speaker and prize winner, and brings them to the right place.
Our guide on providing accurate names and roles explains what to prepare. Share only what you need to, and avoid long lists of personal details.
How should delivery be structured?
Different groups want different photographs. Students may want their own set, the committee wants the stage, sponsors want their banners in context, and families want group shots. Decide this before the day.
| Audience | What they usually want |
|---|---|
| Students | Prize moments, class groups |
| Committee | Stage, speeches, overview |
| Sponsors | Presentation, banners in context |
| Families | Their own child with teachers |
Ask how folders would be organised, and confirm it in writing. Our school event photography worksheet helps you list the needs.
Venue rules and privacy
A school or campus often has its own photography and privacy policy. Ask for it, and send it to us. Our venue permission guide explains how the venue, participants and photographer each have a say. Do not assume that a school's rules match a university's.
Outdoor parts and weather
If a field or lawn is part of the programme, name a covered alternative. MET Malaysia publishes forecasts and warnings, and the committee should name who decides to move activities indoors.
An example
For example, imagine an annual sports and prize day at a school. The field has races from 8am, the hall has a prize ceremony at 11am, and class group photographs follow at noon. The committee supplies the programme, a coordinator and a list of prize winners.
We would put the race finish and the hall ceremony on separate lines, ask who gathers each class, and agree folders for students, the committee and sponsors. If races and a guest arrival overlap, the committee ranks them in advance.
How to judge our work
Ask to see a full gallery from a comparable assignment, not only highlights. We confirm what we can show for your date. Our run sheet guide explains why a ranked plan matters.
Travel and availability
Our team accepts enquiries for Kelantan, and we confirm date, travel and crew for your venue in writing. Travel and crew are confirmed in writing for each booking.
What to send us
Send the programme zones, participant groups, caption needs, photo coordinator and sharing requirements. We reply with coverage and anything we need confirmed.
Questions for the committee
Before you enquire, ask your own team three things. Which zone matters most if the photographer can only be in one place at a time? Who will confirm the winners' names on the day, and who holds the final list? Which photographs may be shared with sponsors, and which stay with families? Written answers make the quotation easier to compare, and they stop disagreements about folders after the event.
Checklist
- Get the approved programme with times and locations.
- Mark zones that run at the same time.
- Name a photo coordinator for captions and group assembly.
- Request the venue's access and privacy policy.
- List the audiences who need separate photograph sets.
- Agree the folder or sharing structure before the event.
- Confirm who arranges crew travel.
Share your programme, activity zones and photo coordinator, and we will propose coverage and a folder structure for each audience.
Plan coverage for our Machang programmeCommon questions
Who should identify prize winners and speakers?
Name one photo coordinator from the committee. They give the photographer names, roles and spelling, and they bring winners to the right place. This keeps captions accurate and stops the programme waiting while someone looks for a winner.
Can we separate student, sponsor and family photographs?
Often yes, if you agree it before the event. Tell us the groups you need, and ask how the delivery would be organised. We confirm the folder structure in writing, and we do not assume every sharing method suits every venue.
What if two activities happen at once?
One photographer cannot cover both. Rank the activities, or ask whether a second photographer can be included for your date. We do not assume this is available, and we confirm any addition in writing.
Do we need the venue's privacy policy?
Ask the school or campus for its photography and privacy rules before the day. Send them to us so the plan follows them. Rules differ between institutions, and the venue decides what applies on its premises.

What happens next: You send your event details on WhatsApp. Our team reads the brief, asks what is missing, then confirms in writing whether the date, venue and coverage can be booked, with a quotation. Opening WhatsApp does not send anything, and a message is not a booking until both sides confirm.
