Booking starts with your enquiry and brief. We reply with questions and a proposed plan, then a written quotation. Your booking is confirmed in writing, we prepare with you before the event, cover the day, and deliver as agreed. Each step has a clear owner.
What are the steps?
Booking follows the same order for most events. Each step ends with something written down, so both sides know where things stand.
- Enquiry. You tell us the event type, date, venue and what matters most.
- Brief review. We read the brief, ask what is missing and propose the coverage.
- Written quotation. We state the scope, deliverables, travel assumptions and total.
- Confirmation. The date, venue, crew, deliverables and terms are confirmed in writing.
- Preparation. You send the final programme, contacts and priorities. We plan the day around them.
- Event day. Our team covers the event as agreed.
- Delivery. We edit and deliver as the quotation states, and handle agreed revisions.
Who is responsible for what?
| Step | You | Us |

| Quotation | Review and ask about gaps | State scope and total in writing |
| Confirmation | Confirm in writing | Confirm date, venue, crew, deliverables |
| Preparation | Send programme, contacts, limits | Build the shot plan and timing |
| Event day | Name a day contact, allow access | Cover the agreed moments |
| Delivery | Check, approve, request agreed revisions | Deliver as agreed |
Our guide to booking event photography and agreeing the scope explains the same steps in more detail, and what makes a photography booking confirmed explains why the written confirmation matters.
What should be decided before you confirm?
Read the quotation against your brief. Check the coverage window, who attends, deliverables, delivery date, travel and image use. Rates, deposit, cancellation and delivery timelines are stated in your own quotation and confirmation. If a point is not written, ask us to add it.
Our page on who photographs your event explains how the attending photographer is confirmed.
What happens during preparation?
Preparation turns a booking into a plan. You send the final programme, the venue contact, the key people and the must-have moments. We confirm arrival time, access and any limits on photography. The brief handover tracker keeps these details in one place, and the responsibility planner shows who handles what on the day.
If the programme changes, tell us early. We update the plan in writing.
What happens after the event?
We select, edit and deliver as agreed in the quotation. You check the delivery against what was agreed. Our page on the editing and delivery process explains selection, previews, revisions and archive arrangements.
If something does not match the agreement, tell us promptly. Our guide on when event photography plans or delivery go wrong lists common cases and what to ask for.
To start, send your date, venue and programme. We will tell you what is missing and what we need to confirm availability.
Start your booking enquiryCommon questions
When is my date actually held?
A date is held when the booking is confirmed in writing, under the terms stated in your quotation. A conversation about availability is not a confirmation. Ask us what is needed to confirm, and keep the written confirmation.
What do you need from me before the event?
The final programme with times, the venue contact, a list of must-have moments and key people, and any limits on photography. Send changes as soon as you know them, so the plan stays current.
Can I change the booking after confirming?
Changes to the scope, date or venue are discussed with us and recorded in writing. Terms for changes and cancellation are stated in your quotation and booking confirmation.
Who do I contact on the event day?
Agree a day contact on both sides during preparation, with phone numbers. Our guide on assigning a backup contact explains why a second name helps if the first is busy.
Start your booking enquiry
To start, send your date, venue and programme. We will tell you what is missing and what we need to confirm availability.
What happens next: You send your event details on WhatsApp. Our team reads the brief, asks what is missing, then confirms in writing whether the date, venue and coverage can be booked, with a quotation. Opening WhatsApp does not send anything, and a message is not a booking until both sides confirm.
