Send us the event brief and tell us what your procurement process needs. We reply with a written proposal covering scope, coverage, deliverables, assumptions and terms. Supplier documents and the contracting details are confirmed in writing before you approve, so your approver sees one clear record.

What does a corporate proposal contain?

A proposal states, in writing, what you are buying. It covers the event, the coverage window, the people attending, the deliverables, the delivery date, travel assumptions and image use. Where a point is not yet known, the proposal says so and says how it will be settled.

The cost is stated in the written quotation for your brief. What an event-photography quotation should include is a useful list to read your proposal against.

How do we fit into your procurement process?

Every company buys differently. Some need three quotations, some need a vendor form, some need a purchase order before work begins. Tell us at the start what your process requires, and we will answer each point in writing.

Who should be named on the documents?

How can we compare your proposal with others?

Ask each supplier for the same brief and compare like with like. Hours, number of photographers, delivery date, image-use permissions and travel can differ even when headline totals look similar. Common questions

What information do you need to prepare a proposal?

The event type, date, venue, programme, number of attendees, the photographs you need and where they will be used. Tell us who approves and by when. Where a brief is not ready, our brief builder helps you write one.

Can the proposal follow our company's format?

Tell us what your procurement team needs to see. We will say in writing what we can provide in that form. Do not assume a particular document or registration exists until we confirm it.

Who signs and who is invoiced?

Both are confirmed in the quotation and booking confirmation. Tell us the exact name your finance team needs on the documents, as early as you can.

Can the proposal cover several events?

Yes, send the list of events with dates and venues. We can prepare one coordinated proposal, or separate ones if your approvals work that way.
