What is the exact address?
Do not rely on the town name. A campus can contain several halls, gates and open areas, and the ceremony may be in one while portraits are in another. Give us the building or entrance, not just "Tanjung Malim".
If your event is at another institution nearby, the same applies. Ask the organiser for the precise venue and where private vehicles may stop.
Official coverage or private portraits?
Many institutions arrange official photography for the ceremony. A privately commissioned photographer is a different arrangement. Ask the institution, in writing, what a private photographer may do: enter the hall, work in the grounds, use particular areas or only photograph outside.

How do group photographs fit around the day?
Convocation days are busy. Graduates may rehearse, queue, robe up and attend the ceremony, and families may arrive from far away. Portraits need people in one place at one time.

What about travel and departure deadlines?
Families often travel in by coach, car or train and have a return time. Tell us the latest time portraits must finish. If there is a long wait between ceremony and departure, portraits can be placed there. If there is not, we reduce the list or move some groups to before the ceremony.
We do not state journey times. Ask your driver or organiser for a realistic one.
Image sharing and permission
Who may receive the pictures and who may post them? A graduate may want to share freely, while the institution may have rules about identifiable guests. Agree this at the booking stage. Our quotation records recipients and uses in writing.
An example
For example, imagine a graduate with eight family members and two friends, a ceremony at 9am and a coach home at 2pm. The family sends the hall address, confirms private photographers may work outside, and lists four groups in priority order.
The quotation sets a block before the ceremony for two groups and a block after for the remainder, ending well before the coach leaves. This is an illustration only.
What if you are the institution?
Institutions sometimes ask us to cover several sessions or several faculties in one commission. Send the full timetable, the venues for each session and the access arrangements for staff and crew. Tell us whether photographs are for records, publicity or both, because that changes what is delivered and who must approve it.

How many groups can we fit in?
