Separate your town venues from any onward trip to a wildlife site, memorial or island, because each has its own owner and rules. Ask every supplier where the crew travels from and what is needed overnight, and say what images you need quickly and what you need later.
Sandakan is Sabah's second-largest town, according to Sabah Tourism, and the gateway to the Lower Kinabatangan. Its listed sites include Sepilok Orang Utan Rehabilitation Centre, the Agnes Keith House, Puu Jih Shih Temple, the Sandakan Heritage Trail and Sandakan Memorial Park. Which venues host the main event?
In a city, the main event usually sits in a hotel, an institution's hall or a private venue. We do not name venues we have not verified. Give every supplier the address and ask the venue about its own rules: loading access, lighting limits, quiet times and any fee for outside photographers.
Then list onward places separately. Sepilok, the memorial park and the Kinabatangan are managed by different bodies, and each decides what photography is allowed.
How does the crew reach Sandakan?
Sandakan Airport (SDK) is a domestic airport operated by Malaysia Airports, about 14 km west of the town centre according to its listing. Sabah Tourism also notes that air-conditioned express buses run daily from North Bus Terminal in Inanam, about 10 km from Kota Kinabalu.

What does the north-east monsoon change?
MET Malaysia has described the north-east monsoon as running generally from early November to March, with episodes of heavy rain, and has issued continuous-rain warnings for parts of the Sandakan division in earlier seasons. This is a pattern, not a forecast for your date.
For an event in that period, agree an indoor backup, allow extra travel margin and check current MET Malaysia warnings in the week of the event.
What about visits to memorial or wildlife sites?
Sabah Tourism lists Sandakan Memorial Park, about 11 km outside town, on the site of a wartime prisoner-of-war camp. It names Majlis Perbandaran Sandakan as the contact. Anzac Day and Sandakan Day memorials are held there each year. Ask the council before a group photograph, and keep the tone suitable for a memorial.
For Sepilok and similar sites, contact the operator and ask what is allowed for a group.
What images do you need, and when?
Organisers often need two things: a few images fast, for reporting, and the fuller record later. Write both in the brief. An example
For example, imagine a 250-guest corporate dinner at a town hotel, followed the next morning by a short group visit to Sepilok. The organiser needs five images the same night for a press note. Supplier A proposes a crew travelling by air with an overnight stay. Supplier B proposes a crew driving on the day. The organiser compares travel, margin and delivery plans, and asks about the Sepilok approval separately.
Questions for your venue
Ask the hotel or hall about its loading entrance, its lighting at the stage and where the crew can leave bags. Ask whether another event shares the ballroom, and what time doors open for setup. If part of your event is outdoors, ask for the covered option in writing. These answers help every supplier quote on the same basis.
