What does the arrangement look like?

Describe it in simple terms: how many areas, where they are, who may enter each and what happens in each. A floor plan, even a hand sketch, is the clearest way to do this. Add the entrances, the pelamin or main seating and any routes between areas.

Who may enter which area?

Write it as a short list. The photographer needs to know, for each area, whether they may enter, for how long and whether they may photograph people there.

What crew arrangement do you need?

It depends on the layout and the programme. One person may be enough if the areas are close and the moments are sequential. Two may be clearer if moments occur at once in different areas. Our concurrent activity and crew planner shows when one person can move and when they cannot.

We confirm what crew arrangement we can offer before you commit, and the crew assigned to your event is confirmed when the booking is confirmed.

What does the venue allow?

Venue rules about access, equipment and photography apply, and they can differ between areas. Ask for them in writing, close to the date. An example scenario

For example, imagine a hall wedding where the hosts arrange two seating areas. They ask the photographer to cover the main hall during the pelamin session and the entrance, and ask a second team member to cover the second area, entering only as the hosts allow.

The coordinator gives both team members a copy of the floor plan before the day, with each area's rules written beside it. A named contact answers questions on the day. This is a hypothetical case, not a past job.

A common mistake: leaving access unwritten

A common mistake is to explain the arrangement by phone and leave it unwritten. On the day, a venue staff member or a guest may ask the photographer to leave an area, and nobody has the instruction to hand.

Put the access rules on one page, with each area named. Share it with the contact, the venue and us. If the rules change on the day, the contact updates the page and tells the crew.
