What are the three jobs of an association convention?
- Member recognition. Awards, fellowships, new members and long-service moments. These are fixed in time and important to the people involved.
- Governance-related activity. Reports, elections, committee sessions and AGMs. These may be restricted or photographed only briefly.
- Professional relationships. Breaks, receptions, dinners and informal conversation, where members meet.
Each needs different handling. Recognition needs accuracy and timing. Governance needs discretion. Relationships need patience and a light touch.
How do you rank them?

Where does conference production take over?

Getting names and titles right
Associations care about titles, honorifics and affiliations. A wrong caption causes more distress than a missing photograph. Give us a verified list of award recipients, officeholders and speakers, with titles as the association writes them.

A hypothetical example
For example, imagine a two-day convention for about three hundred members, with an opening plenary, an awards dinner on the first evening, an AGM on the second morning and parallel workshops on the second afternoon. The committee ranks the awards dinner and the president's address as must have, the AGM as opening only, and workshops as sampled.
One photographer covers the plenary and the dinner; a second, if the committee chooses and we confirm availability, samples workshops. The committee checks captions before the gallery is released.
Recognition moments and group portraits

Hours, crew and deliverables
Cost and crew follow the programme: the number of days, rooms and sessions, and the deliverables you want. We confirm date, venue, crew, deliverables and quotation in writing. We do not assume video, same-day delivery or a second photographer; ask whether they can be included for your date.
Questions to settle before the day
Ask the committee which sessions are open to all delegates, which are members-only and which are closed. Decide who approves the final gallery and in what order, for example awards first, then general coverage. Agree how late changes to the programme reach the photographer, and who is available to answer questions during the convention. A named contact on site makes the difference between a calm event and a stressful one.
Allow time on the first day for a short walk-through of the main hall, the registration area and the awards stage. A photographer who has seen the rooms before the delegates arrive can choose positions, test the light and avoid blocking the routes that stewards and caterers use.

Should governance sessions be photographed at all?
