Short answer

List each outdoor block, a covered or indoor alternative for it, the person who decides, and any travel that depends on the choice. The planner turns this into an alternative plan with trigger questions and links to official forecasts. It is a planning worksheet, not a forecast or a safety clearance.

What this planner does

It helps you decide what happens to outdoor photography before the day, so the answer is not improvised under a grey sky. For each outdoor block you record a fallback, an owner and a trigger.

The result is a one-page alternative plan you can share with the photographer, your venue and the people running the programme.

How to use it

  1. Add each outdoor block, such as an arrival, a group photograph or a procession.
  2. Choose a covered or indoor alternative for each one.
  3. Name the decision owner and the time of the decision.
  4. Note travel dependencies, for example guests who must walk to another building.
  5. Read the trigger questions and save the forecast links.

Reading the result

The trigger questions are things to ask on the day or the day before: is rain forecast during the block, is the covered space free, can everyone fit? For official information, use the forecast and warning pages of MET Malaysia, which publish state, district and town forecasts and warnings.

Assumptions and limits

This is a planning worksheet. It does not predict weather and does not decide whether an activity is safe. Safety decisions belong to the event organiser, the venue and the relevant authorities.

If the indoor option has its own rules, run it through the venue photography checklist. If the programme runs late because of the change, see when the programme changes or runs over. Your entries stay in your browser unless you save them on this device.

Common questions

Does this tell me whether it will rain?

No. It does not forecast. It links to the official MET Malaysia pages so you can check conditions yourself, and it prompts you to decide in advance what you will do if conditions change.

Who should decide to move indoors?

One named person. Decisions made by a group on the day tend to run late. Write down the person, the time they will decide and how they will tell the photographer.

Does an indoor alternative need its own photography plan?

Usually yes, because light, space and sightlines are different. Ask whether the indoor area is large enough for the same activity and whether flash and movement are allowed there.

What if the travel between places changes?

Moving to a covered space can change travel time and parking. Note any dependency in the plan, such as a bus that needs extra time, and share it with the photographer.
