What this tracker does
It compares two moments in time: what you learned from the venue earlier, and what is true of your event now. Where the two differ, it flags the requirement and shows which parts of your photography brief depend on it.
It is useful for events that change over weeks, such as a moved hall, a longer programme or a larger guest list.
How to use it
- Enter each requirement you checked earlier, for example loading access, flash rules, parking or approved areas.
- Add the source and the date of the answer.
- Record the changes in your event or in the venue's replies.
- Add the next review date and the person responsible.
- Read the list of stale or changed items and the brief items they touch.
Reading the result
Stale items are those whose answer pre-dates a change. Changed items are those where the venue has said something new. Both need a fresh confirmation, ideally in writing, before you rely on them.

Assumptions and limits
The venue photography checklist owns the first round of questions and answers. This tracker only compares earlier evidence with current circumstances. It does not issue a permit, and it does not infer approval from silence.
Once you have fresh answers, pass them to your booking contact through the photography brief handover tracker, so the crew works from the current version. Your entries stay in your browser unless you save them on this device.

How is this different from the venue photography checklist?
The checklist helps you find out what a venue requires in the first place. This tracker compares those earlier answers with what is true now, so you can see what to ask again.
What counts as a material change?
Anything that alters where, when or how photographers work: a new hall, a changed schedule, different guest numbers, new access rules or a new contact. If you are unsure, list it and ask.
Does an old answer still apply after a change?
Do not assume it does. The tracker marks the answer as stale when the circumstances differ from when it was given. Ask the venue to confirm again in writing for your current plan.
Can the tracker tell me whether a permit is needed?
No. Only the venue or the relevant authority can say. The tracker records who you asked and when, so you can follow up with the right person.
