Your head office is abroad, the event is in Malaysia, and several teams need to be clear on who does what.

Short answer

The service happens where the event is held, whatever the buyer's location. Name the person who approves the quotation, the person who coordinates with the venue in Malaysia, the legal entity on the quotation and the recipients of the photographs. Settle these four points early, and the rest follows.

When a company based abroad holds an event in Malaysia, the photography has two geographies. One is where the decisions are made. The other is where the photographs are taken. Mixing them up leads to confusion about who answers questions, who signs and who gets the pictures.

The service happens at the venue

Wherever the buyer sits, the photography takes place at the event. The crew travels to the venue, works under the venue's rules and delivers afterwards. The buyer's location affects other things: time differences, communication and payment. It does not move the service.

Keeping this clear stops a common mistake, which is to plan around the buyer's office rather than the place where the crew will be standing.

Four decisions to settle early

  1. Approver. Who accepts the quotation and any changes?
  2. Venue coordinator. Who speaks to the venue and the crew in Malaysia?
  3. Contracting entity. Which legal entity is named on the quotation and invoice?
  4. Recipients. Who receives the photographs, and where are they?

The approver and the coordinator

The approver may be in a head office far from the venue. They decide on scope and cost. The coordinator is on the ground. They answer the crew's questions about access, positions and timing in real time. If the same person cannot do both, give the coordinator authority to decide small things and tell the crew where their authority ends.

Time and schedule

The buyer's clock and the venue's clock may differ. Use venue local time for the master schedule, with the date beside every time. Coordinating venue time, arrival time and an overseas organiser's clock covers the method.

Recipients abroad and in Malaysia

Some recipients may be in the head office and others at the event. Consider how each will open the files, how large they are and who needs a quick set. A hypothetical example

For example, an overseas technology company holds a regional partner dinner in Malaysia. The marketing lead abroad will approve the quotation. A local events consultant will coordinate with the venue. The Malaysian subsidiary will pay.

The planner asks each to be named in the brief. The quotation is addressed to the subsidiary with its exact name. The events consultant is the crew's on-site contact. The marketing lead receives a first selection of images soon after the event, and the full gallery goes to the subsidiary. Times in the run sheet are shown in venue local time, with the date. When roles change

People move on, and contacts change. Tell us if the approver or the coordinator changes before the event, so we update the record. Recording the final photography brief before event day describes how a final version is fixed.

What we confirm

We confirm date, venue, crew, deliverables and quotation in writing, naming the approver, the coordinator, the contracting entity and the recipients. If any of them changes, we ask you to tell us.

Common questions

Does the buyer's country change where the service takes place?

No. The photography takes place at the event venue in Malaysia. The buyer's location affects communication, time differences and who signs, not where the work happens. Keep these separate in your plan.

Who should coordinate with the venue?

Someone who can be reached in venue hours and has authority to answer. This may be a local colleague, an event agency or the venue's own team. Name them in the brief so the crew knows who to ask.

How should the quotation be addressed?

To the legal entity that will contract and pay, with the name written exactly as it appears in the company's records. Tell us the entity early. Our guide on confirming the legal name explains why it matters.

Who receives the photographs?

List each recipient, where they are and how they can open the files. Some may be abroad and others in Malaysia. Delivery routes and access are confirmed in the quotation.
