When transport stops before the event ends, there are only three honest choices: stay overnight, leave on a later service that exists, or end coverage earlier. Decide which one applies while planning, using the operator's actual timetable. Do not discover on the day that the crew must leave before the key moments.
Some of the loveliest places to hold an event are also the hardest to leave late at night. A ferry stops, a shuttle returns to its depot, or the last flight of the day departs before the dinner is over. If the crew has to leave with it, coverage ends there, whatever the programme says.

Start with the moments you cannot miss
Before looking at timetables, list the moments that must be covered and when they happen. A reception may peak with a speech and a cake, then wind down. A corporate dinner may have its awards late. The priority photograph list builder helps you mark which moments matter most.
Then compare that list with the departure time. If everything important is finished well before the last service, the problem is small. If a key moment comes after it, the plan has to change.

There is no fourth option of hoping for the best. If the timetable says the last service leaves at a certain time, the crew leaves on it or stays.
Check the real timetable
Use the operator's current information for the exact date. Weekends, school holidays and festive periods can change services, and so can weather. We do not state timetables here because they are the operator's to confirm and they change. Ask, keep the reply, and ask again close to the date.

If the crew stays overnight
Lodging needs a location, check-in details, a payment arrangement and a way to move equipment. If coverage finishes early
An earlier finish is acceptable when everyone has agreed it in advance. Write down the finish time and what is not covered after it. Some hosts decide to move a key moment earlier in the programme so it falls inside the window. That change belongs to the host, and we can suggest it only as an option.
A hypothetical example
For example, a wedding on an island has a reception starting at 7pm with a cake cutting at 10pm. The last boat to the mainland leaves at 9.30pm, according to the operator for that date.
The couple has three choices. They can book the crew an overnight stay, ask whether the cake can be moved earlier, or accept coverage ending at 9pm. They choose to move the cake to 8.30pm. The photographer leaves on the last boat. The quotation records the new programme, the departure and the fact that dancing after 9pm is not covered.
Costs

Who decides whether the crew stays overnight?
The booking owner decides, with advice from us. Staying overnight adds cost and arrangement, while leaving early shortens coverage. Put the choice in writing with the reason, so everyone knows what the plan protects.
Can coverage simply end early?
It can, but it should be a decision, not a surprise. If the most important moments come late, ending early may defeat the purpose of the booking. Compare the programme with the departure time before agreeing.
What if the timetable changes before the date?
Check it again close to the event and tell us at once if it has moved. A changed last service may turn a workable plan into one that needs lodging. We would rather adjust early than on the day.
Should the host arrange the lodging?
It depends on the booking. Some hosts arrange it; in other cases it is part of our quotation. Either way, the responsibility should be written down together with the dates and location.
