Comparing combined photo-video quotations with separate suppliers

One supplier offers photos and video together, others offer them separately, and you cannot tell whether bundling really saves anything.

Short answer

A combined quotation can save coordination, but whether it saves money depends on how many people work, for how many hours, and what each output includes. Compare the personnel, hours and deliverables of every option on the same rows. Do not assume one supplier covering both is the same as two people working at once.

Offers that bundle photography and video are common, and the single price looks attractive. Separate suppliers look more complicated. Which is better depends on what each option really contains.

What does a bundled price actually contain?

A bundle is a promise that photographs and video will both be delivered for one total. What is inside that total varies a great deal.

It may include two people, one for each output, working the same hours. It may include one person alternating between the two. It may include a photographer for the full event and a video crew for a shorter period. The price alone does not tell you.

Ask the supplier to state who covers what, and for how long. A line reading "photo and video coverage, 8 hours" does not say whether that is eight hours of each or eight hours shared.

Can one person cover both?

Photography and video make different demands. A photographer moves to catch moments, shoots from varied angles and often needs to be close. A videographer needs steady shots, sound and sequences that last longer than a moment. The two often want the same position for different reasons.

One person doing both can work for small events with simple needs. For a busy programme, something gets less attention. How do you set the options side by side?

Build a table with the same rows for each option and fill it from the documents.

What changes with two suppliers?

Two suppliers mean two quotations, two sets of terms and two crews on the day. The benefit is that each is focused on one output. The cost is coordination.

You need to share the programme with both, tell them where they may stand, and resolve any conflict between them. If both want the same position at a key moment, someone must decide. A hypothetical example

For example, imagine a hypothetical company launching a product at a half-day event. One supplier offers a combined package at a single price. Another offers photography alone, and a third offers video alone.

The organiser asks each for crew and hours. The combined supplier replies that two people attend for the full period, one on each output. The photography-only supplier offers one photographer for the full period and a second for the main session. The video supplier offers two operators for the main session only. The organiser sees that the combined offer has a smaller crew for the main session than the separate options, but it has one contact and one set of terms. The decision becomes a trade between coordination and coverage, based on what the launch needs most.

How does image use apply to two outputs?

Photographs and video can carry different permissions. A quotation may allow one use of images and another of footage. Ask each supplier to state the permitted use for what they deliver. Our guide to comparing quotations with different image-use permissions explains what to compare.

What if you want a lower cost, not a lower scope?

If the total is the issue, look first at what you can reduce without losing what matters. A shorter video, a smaller photo set or one output for a part of the day may serve you better than a bundle for the whole event. Our guide to budget priorities covers how to rank the parts.

Common questions

Can one person shoot photos and video at the same time?

Not well, as a rule. Photography and video need different positioning, timing and equipment, and one person doing both usually has to choose at each moment. Ask the supplier whether the quotation includes one person or two, and what that means for each output.

Is a combined quotation cheaper?

It may be, or it may not. A combined offer can reduce coordination and overlap, but it may also include fewer hours of each or one person covering both. Compare personnel and deliverables, not only the total.

Do separate suppliers coordinate with each other?

Only if you arrange it. Two suppliers at one event need to share the programme, positions and any restrictions, or they may get in each other's way. Name one person on your side to coordinate them.

Does this site provide video?

We are a photography business. If you need video as well, a separate supplier is a common arrangement. Tell us about it so that the photography plan can work around the video crew's positions.
