Which venues are really part of the plan?
Names used on invitations and in tourism material can be broader than the area they sit in. Before you ask for coverage, write down the full address or pin of each venue and check it against the local authority and the operator. Do this for every venue, because travel time and permissions follow the address, not the label.

Can one photographer cover plenary, breakout and private parts?
Often yes, if the parts are in sequence. A plenary session, then a networking break, then a private dinner can be covered by one crew if there is time to move and reset. The trouble starts when two things happen at once.

Who grants photography approval?
Different spaces answer to different people. A hotel ballroom answers to hotel management. A university or institutional space answers to its administration. A managed attraction answers to its operator. Some of these publish their own events contact, and resorts and venues often route enquiries through their events teams.
Ask each operator for its photography terms for your date: whether outside photographers are allowed, what equipment is permitted, and what approvals or fees apply. Do not assume that approval for one place covers another. Our venue photography checklist lists what to ask.
Organisation or private group?
The same weekend can contain an organisational event and a private one, and the image rules differ. An organisation usually needs a named person to approve images before they are used in reports or on social media. A family group usually needs to decide who is comfortable being photographed and who is not. Settle both before the event. Our responsibility planner helps you assign these.
A worked example
For example, imagine a company running a two-day leadership programme at a hotel, followed by a leisure afternoon for staff and their families at an attraction nearby.
The organiser writes the programme as three blocks: a plenary morning, two parallel breakouts after lunch, and the family afternoon the next day. She sends the hotel's room names and the attraction operator's contact. We reply with a written schedule. The plenary and the family afternoon are covered by one crew. The parallel breakouts are marked as needing either a priority order or a second photographer, to be confirmed. She decides to photograph the first breakout fully and the second at its opening and closing only. Because the schedule was written out, the choice was easy to make.
