Short answer

What this planner does

It records who is responsible for what. You enter a role for each area: approval of the shot list, family group coordination, venue access, changes on the day and publishing. The planner turns this into a sheet with an escalation path and a card with the day contacts.

How to use it

  1. Enter the person or role who approves the plan before the event.
  2. Enter who gathers family or team groups.
  3. Enter who handles venue access and the venue contact.
  4. Enter who decides if the schedule changes.
  5. Enter who approves images for sharing.
  6. Add a backup for each role, if you can.

Reading the result

The sheet lists each area, the main person, the backup and the first thing to do if they cannot be reached. The escalation path shows who to call next. The card is a compact version for the day, with roles and numbers you choose to include.

A good sheet avoids overlap. If two people are both responsible for group photographs, the photographer is left waiting. What to do next

Add the sheet to your booking brief so that we have the same contacts you do. Use the group photograph planner for the groups themselves. For publishing, read organiser instructions and individual guest preferences and permission to photograph and permission to publish.

Assumptions and limits

The sheet is a planning worksheet and is not part of any contract unless the quotation says so. Names are optional, and the card shows only what you type. Do not put personal numbers on a sheet that will be widely shared. The tool does not store your entries on a server.

Common questions

Do I have to enter real names?

No. Roles are enough to plan. Add names and numbers only to the card you will hand out, and only for people who agree to be listed.

Who should decide changes on the day?

One person with authority and a phone nearby. Name a backup in case they are busy. Avoid sharing the decision among many people.

Is this sheet legally binding?

No. It is a worksheet. Binding terms are in the written quotation or agreement.

Can the sheet include publishing approval?

What happens next: You send your event details on WhatsApp. Our team reads the brief, asks what is missing, then confirms in writing whether the date, venue and coverage can be booked, with a quotation. Opening WhatsApp does not send anything, and a message is not a booking until both sides confirm.
