Split your event into the parts held inside a controlled workplace and the parts at an ordinary venue. For the controlled part, get the site's photography and induction rules in writing, including any safety briefing, escort, protective equipment or camera approval. Agree who approves images before internal use, publicity or any portfolio use.
A ceremony at a workplace in Pasir Gudang is not the same as a ceremony at a hotel. Safety and access questions
Ask the access sponsor, in writing:
- Is a safety briefing required, and how long does it take?
- Is protective equipment required for visitors or contractors?
- Is an escort needed in some areas?
- Is camera approval needed before entry, and from whom?
- Which zones allow cameras and which do not?
- Are there times when no photography is allowed?

What gets photographed, and where?
If the camera cannot go everywhere, the shot list must reflect it. A common solution is to photograph the people and the moment, not the machinery. A handover of an award at the entrance, a team in front of a banner, a speech in a briefing room. Mark restricted zones on the run sheet so nobody improvises on the day.
Who approves what?
Three kinds of release decision arise, and they are often tangled.
- Internal circulation: newsletters and staff chats.
- Publicity: websites, social media, press.
- Supplier portfolio use: the photographer showing the work.

A worked example
For example, imagine a logistics company holding a long-service awards ceremony at its Pasir Gudang depot, followed by a dinner at a venue elsewhere.
The HR manager is the access sponsor. She sends the site's induction rules, a list of areas where cameras are not allowed and an approved shot list. The shot list uses the training room for the awards and the gate for the group photograph. Weather on site
