For a multi-room programme in Ayer Keroh, send us your room schedule, the sessions that matter most and the earliest time any image must be published. Ask the venue for its access and loading rules in writing. We then plan crew, positions and an order of priority, and confirm it in writing.
Ayer Keroh is where Melaka's larger indoor programmes tend to gather. The Melaka International Trade Centre (MITC) is on Jalan Konvensyen, Ayer Keroh, in the Hang Tuah Jaya area, and was completed in 2002 and opened in 2003, according to Wikipedia. A third-party listing describes a single-floor exhibition hall that can be split into three, eight meeting rooms and a ballroom on the upper level. These details vary between sources, so the operator should confirm what applies to your date.
This page helps a planner brief photography when more than one room is in use. For the state overview, see event photography in Melaka.
What is different about a multi-room event?
A single hall has one stage and one flow of people. A multi-room programme has parallel tracks, controlled entry and walking time between spaces. The photographer cannot be in two rooms at once, so the brief decides which moments are covered.
Our guide to choosing between planned activities that overlap explains the trade-offs. In short, list what must be covered, rank it, and decide where a second photographer is needed.
Which rooms need photographs at the same time?
Start with the room schedule. Mark each session, its start and end, and how important it is.
| Session type | Typical need | Planning question |
|---|---|---|
| Opening and plenary | High priority, full coverage | Where can the photographer stand without blocking the view? |
| Parallel tracks | Selective coverage | Which tracks matter most? |
| Sponsor session | Evidence of agreed activity | What did the agreement promise? |
| Exhibition floor | Atmosphere and booths | When is it busiest? |
| Networking and meals | Candid moments | Do guests expect to be photographed? |
The concurrent activity and crew planner helps you see where sessions clash. Our guide to budgeting for simultaneous venues or rooms explains the cost side.
Access, accreditation and equipment
Convention venues often issue rules for loading, power, flash, tripods and where cameras may stand. They may also require passes for crew. We do not state any venue's rules from memory. Ask the operator or your organiser for the current technical and access manual for your date, and send it to us.
Some rooms restrict photography during certain moments, such as closed-door discussions. Tell us which sessions are private. Our guide to venue access before guests arrive explains why early access matters.
Same-day images for reports and sponsors
If a press release or sponsor update must go out before the day ends, say so early. A same-day workflow needs a clear approver, a short list of images and agreed delivery steps. The live-event rolling photo production planner lays this out, and our guide to what changes when you request rapid photo delivery covers the cost effect.
Tell us the earliest publication deadline, who approves, and which images come first. We confirm in writing what we can support for your date.
Sponsor obligations
Sponsor evidence works best when it matches the agreement. List each item with its place and time, such as a stage logo, a speaking slot or a booth. Check items are in place before they are photographed. The sponsor photography checklist and our guide to sponsor evidence that reflects what happened explain the approach.
An example scenario
For example, an association holds a one-day conference with a plenary hall, three breakout rooms, an exhibition area and two sponsors. The organiser sends a room schedule and marks the plenary, one breakout track and both sponsor items as priorities.
The first press update is due at 1pm. The organiser names one approver. Walking time between the hall and the breakout rooms is noted as about five minutes. We suggest a second photographer for the afternoon, when two tracks overlap, and confirm crew and deliverables in writing before the day.
Organising the delivered gallery
Multi-room events produce many images. Agree how the gallery will be organised: by session, by track or by sponsor. Our guide to organising delivered photographs by session, activity or participant group helps you decide.

Plan photography for our multi-room eventCommon questions
Can one photographer cover two rooms running at the same time?
Not at the same moment. One photographer can move between rooms if the sessions are staggered and the walk is short. If two rooms need continuous coverage, plan for more than one photographer. Send the schedule and we will mark the clashes.
Who gives us access to the venue as photographers?
The venue operator or your organiser sets accreditation, loading and equipment rules. Ask for the current technical and access manual in writing and send it to us. We do not assume a rule from another venue.
How quickly can images be ready for a press release?
It depends on the volume, the number of approvals and what you agree beforehand. Tell us the earliest deadline and which images are needed first, and we confirm in writing what we can support.
Do sponsors need their own selection?
Often yes. List what each sponsor was promised, such as a logo wall or a speaking slot, and tell us where and when it appears. Our sponsor checklist helps you set this out.
Can the exhibition hall be photographed when it is empty?
Only if the venue allows access then. Empty-hall pictures often need setup time before doors open. Ask the venue for the earliest access time and add it to the brief.

Plan photography for our multi-room event
Send us the room schedule, speaker times, sponsor obligations and your first publication deadline. We will tell you what coverage that implies and confirm it in writing.
What happens next: You send your event details on WhatsApp. Our team reads the brief, asks what is missing, then confirms in writing whether the date, venue and coverage can be booked, with a quotation. Opening WhatsApp does not send anything, and a message is not a booking until both sides confirm.
