Official coverage and private portraits are different jobs

The official photographs record the ceremony. Private portraits record a family. They often have different commissioners, different timings and different permissions. Treat them as separate lines in the plan, and do not assume a private photographer may enter the ceremony hall.

Who is the commissioner, and what can be done with the images?

A parent, a student group and an institution may each want something different. The quotation should state who commissions the work, who receives the photographs and what uses are allowed. A hypothetical example

A family travels to Kampar for a graduation. The ceremony is at 10am, and relatives need to leave by 2pm. The family books portraits for the graduate with parents, grandparents and two friends.

The institution's guidance, obtained in writing, allows portraits at a designated outdoor area from 12pm to 1pm. The plan puts the family first, then the friends. The photographs are delivered privately to the parent. Posting online is decided with everyone shown.

Questions to ask the institution

Before booking, ask the institution three plain questions. Which areas are open to a privately hired photographer, and during which hours? Are guests and relatives allowed to move between the ceremony venue and the portrait areas? Is there a point at which photographers must leave? The answers shape the timetable more than the weather does, and they let you tell relatives clearly where to meet and when.

Can a private photographer work inside the campus?

That depends on the institution's current rules. Wikipedia notes that Kampar is a centre of tertiary education, with UTAR and another university in the town, but each institution sets its own policy. Ask the university for its photography guidance in writing.

Where are portraits usually taken?

Wherever the institution allows and your timetable fits. Ask about permitted areas and times, and about restrictions on lighting or tripods. Avoid assuming that a campus space is open because it is public.
