What may appear in the images?

Start with a list. Go through the venue and the programme and mark:

  • Screens and slides: which are public and which are not
  • Prototypes and products: shown, covered or absent
  • Whiteboards, notes and name tags
  • People: speakers, staff, guests, anyone who must not be identifiable

Do you need confidentiality terms or an embargo?

Ask early. Some assignments need written confidentiality terms, some need an embargo until a launch time, and some need client review before any image leaves our hands. These are agreed for the specific assignment and recorded in the quotation. We do not assume that standard terms exist.

For example, a launch may have an embargo until the announcement. You decide who may see images before then, such as the communications lead, and where the files are delivered. Portfolio publication is a separate question and needs the client's written approval for that assignment.

What mix of images serves the communications goal?

Most launches need four kinds of photograph:

  1. Product or demo context, within the disclosure brief.
  2. Speaker and stage coverage.
  3. Team and leadership portraits.
  4. Audience reactions and interactions.

Who approves what?

Name the approval owners. One person approves the shot list before the event. One person, or the same, approves images before release. Without names, review slows down, and the release time can slip.

A hypothetical example

Imagine a software company previewing a new product to partners at a venue in Cyberjaya. Slides show unreleased features, a prototype sits on a table and the press embargo lifts at 3pm. The brief says no screens in the wide shots, the prototype may be photographed only after the announcement, and the communications lead approves a first selection for release at 3pm. We would plan the shot list accordingly and deliver the first selection to the named reviewer.

Venue access

Ask the venue or building management for current access instructions in writing. Offices and some venues in Cyberjaya manage visitor entry and parking, and rules differ by building.

Common questions

Can the photographer sign a confidentiality agreement?

Raise it before booking. Terms are agreed per assignment and written down, so tell us what you need to protect and who must sign. We do not assume any standard terms apply.

Can images be held until the launch time?

Yes, if the embargo and delivery time are agreed. State the release time, who may see images before then and where the files go. Delivery is confirmed in your quotation.

What if a screen or whiteboard shows something restricted?

List restricted material in advance, and walk the room with us before the event. We frame to avoid it, and you can review images before release. Mark any item that must be covered or turned away.

Can we use images in a portfolio or case study?

Only with the client's written approval. If publication matters to either side, agree it before the event, and keep the approval linked to the specific assignment.

Is Cyberjaya the same as Putrajaya?

No. Cyberjaya is a planned city in Sepang District, Selangor, next to Putrajaya, which is a federal territory. Use the venue's address and tell us which place it is.
