Annual gatherings build their own quiet traditions. The same room, the same people, a few new faces and some who are no longer there. A photographic record can show that passage of time, if it is made gently and kept consistent.

Who defines the occasion?

You do. Remembrance gatherings take many forms: a meal, a visit to a place, a prayer, a quiet hour at home, a reading. They may follow a religious or cultural practice, or they may simply be the family's own habit.

We do not assume which. We ask the hosts to describe the day, to say who leads it, and to tell us which parts they would like photographed, which parts are private and which can be decided on the day.

What kind of record do you want?

Think about the purpose. Some families want a gallery of everyone who attended, so that they can see how the family changes. Some want a few photographs of the setting and the gathered relatives. Some want a record for relatives who live abroad.

Privacy and sharing

Remembrance images are private. Decide who may see them, who may share them and whether any may leave the family. If a relative asks for a photograph to be removed, agree how that is handled. Respect for the day

The photographer keeps a quiet distance, avoids flash where it would intrude and does not direct moments that the family treats as private. If a relative signals that a moment should not be photographed, the camera is lowered.

Because the gathering recurs, the family can refine instructions each year. What worked quietly before can be repeated, and anything that felt intrusive can be changed.

For example, imagine a family of about thirty who gather each year on a particular date at a family home. In the first year, they ask for one group photograph in the garden and candid images of the meal, and none during a short quiet reading.

The next year, they repeat the plan and add a photograph of the youngest generation together. The host keeps one folder for each year. This is a hypothetical illustration of how a small, steady brief can build a record.

What we confirm

We confirm the date, venue, crew, deliverables and quotation in writing for each year's gathering, along with any instructions the host gives about what is and is not photographed.

Questions to settle before each year

Ask the family whether anything has changed since last time: new relatives, someone who can no longer travel, a different venue or a different mood for the day. Ask whether the instructions from last year still hold, or whether anything should be added or removed.

A short note each year, sent a few weeks ahead, keeps the arrangement simple and lets the family adjust gently as the gathering itself changes.

Do you need to know which tradition we follow?

Only what is needed to stay out of the way. Families hold remembrances in many ways, and customs vary. Describe what happens, what must not be photographed and who gives instructions. We follow your account, and do not assume a sequence.

Can the same photographer attend every year?

Ask us. We confirm the crew assigned to each date when we confirm the booking, so continuity is a question to raise when you enquire. Each year is a separate booking confirmed in writing for that date.

Should we photograph every year or only some years?

That is the family's choice. Some prefer an annual record, others choose a milestone year. A middle option is a short, simple record each year, such as the family together and the setting, with fuller coverage in a significant year.

How do we keep the photographs organised across the years?
