Preschool annual-day photography

Your annual day brings performances, displays, families and awards together, and you want it recorded as one event, not as separate jobs.

Short answer

An annual day is a varied yearly celebration, often with stage items, class displays, awards and family time. It is not a portrait day and not only a graduation. Decide first how the preschool wants the day represented: the programme in order, selected highlights, or a mix. We then plan coverage hours and crew around that choice.

An annual day tends to be the largest event in a preschool's calendar. It can include songs, short plays, class exhibits, parent attendance, certificates and refreshments, all within a few hours. Because so much happens, the first task is deciding what the day is for.

What is an annual day, for photography purposes?

For photography, it is a programme of several linked parts, usually run by teachers with parents watching. It is a single event with a single timeline, which makes it different from a portrait day, where each child is photographed in turn, and from a graduation, which centres on a ceremony.

Naming it correctly helps. A brief that says "annual day" but expects individual portraits for every child will not fit a coverage window planned for live performances. Say which of these you mean, or whether you want both in separate blocks.

Planning around the programme

Annual days often run in a sequence of short items. A sensible plan matches photographic priority to each item. Opening and closing items usually carry the whole group and anchor the record. Individual or class portraits, graduation certificates and parent-teacher events can all sit near an annual day, but each has its own timing. Keep them as separate lines in your brief. What if the day runs long or changes?

Annual days often overrun by a short while, as parents arrive late or a class needs extra time to get ready. Is an annual day the same as a graduation ceremony?

Not always. Some preschools hold a graduation within the annual day, while others keep it separate. Tell us what your day contains. If a graduation segment is part of it, we plan that segment as one item among others, and a separate graduation event has its own guidance.

Can we include individual portraits during the annual day?

Portraits can be planned as a separate, short activity, but they change the coverage plan and take time away from live moments. Ask us whether this can be included for your date, and we will explain what it would add in the written quotation.

How do we make sure every class appears?

List the classes in the programme and tell us how the preschool defines fair representation. Coverage of each class's item is a realistic aim; a promise that every child is clearly photographed is not. Agree the wording before the day so parents have accurate expectations.

Should photography cover setup and displays before the event?

It can, if the preschool wants records of decorations, class work or the venue. This needs access before the families arrive, so confirm timings with us. Setup coverage is separate from the programme and affects the booked window.
