Deciding when an advance arrival is justified

Arriving a day early costs time and money, and you want to know whether your event truly needs it.

Short answer

An advance arrival is justified when the event cannot be reached safely on the same day, when access or set-up needs time that the event day does not allow, or when a missed connection would cost key coverage. If none of these applies, same-day travel with a buffer may serve you. Write the reason for the extra day in the quotation.

An extra day of travel is a real cost, so it deserves a real reason. Equally, skipping it to save money can leave the crew arriving straight into a busy morning with nothing in hand. The aim is to decide on purpose.

The question to ask

Ask this: if the crew travels on the day of the event, what could go wrong, and what would it cost? If the answer is "very little", the extra day may not be needed. If the answer is "we would miss the key moment", the extra day is protecting something.

Write the answer as a single sentence. If you cannot, the case for the extra day is not yet clear.

None of these is automatic. Each depends on the route and the programme, and we say so in the quotation. Transport times and timetables are the operator's to confirm, and we do not state them here.

When same-day travel is enough

If the journey is short and has many alternatives, if the event starts late enough for a comfortable buffer, and if access is simple, the crew may travel on the day. A buffer is time you hold in reserve. How much depends on the route, and the right amount is a judgement you can discuss with us.

Compare cost and protection

An extra day adds lodging, meals and time. Weigh it against what it protects. For example, a couple's ceremony in the morning has no second chance, while a conference that runs for two days may recover from a small delay. A hypothetical example

For example, an event starts at 9am at a venue reached by a boat that sails only once in the morning, arriving shortly before the start. Suppliers need to be inducted before guests arrive.

The planner sees that a delay on the road would mean missing the boat, and the next one is too late. Induction also needs time. The crew therefore arrives the evening before and stays near the jetty. The quotation states the reason: the only suitable sailing, plus induction. The host agrees. The event starts with the crew already on site.

Accommodation for the extra night

Revisit the decision if things change

A change of date, venue or programme can change the answer. If the start moves later, an extra day may no longer be needed. If the venue moves, it may become necessary. Ask us to review it, and we will confirm in writing.

Common questions

Is arriving the day before always safer?

It reduces some risks and adds cost, so it is not automatically the right answer. It is most useful where the journey is long or uncertain, or where the start is early. For a short, reliable journey and a late start, a buffer on the same day may be enough.

What reasons make an advance arrival sensible?

An early start the crew cannot reach in time, a route that depends on a connection with no later alternative, venue access that must be arranged in person, or a need to walk the site before the event. Each is a reason you can write down.

Who decides?

The booking owner decides, with our advice. We explain the reason and the cost implication, and you choose. The decision and its reason go in the quotation.

Can we decide later?

It is better to decide early, since lodging, transport and diaries are affected. Late decisions are possible but may reduce your options, particularly on busy dates.
