Should photography and videography be booked together?

You want photographs and video of the same event, and need to know whether one booking or two will cause fewer problems.

Short answer

Booking both with one supplier can simplify coordination and billing, but only if that supplier actually provides both and can staff each properly. Separate suppliers give you free choice of each specialty but need someone to coordinate positions and schedules. Decide by asking who is accountable for each output and how the crews share the space.

The question sounds practical, and it is, but it has more to do with accountability and space than with price. Thinking it through before you ask for quotations will save you from a common problem: two crews, one aisle and nobody in charge of the arrangement.

What is the real choice?

You are choosing between three arrangements:

  1. One supplier for both. A single business takes responsibility for stills and video.
  2. Two separate suppliers. You commission a photographer and a videographer independently.
  3. Photography now, video decided later. You book one and keep the other open.

Each arrangement works for some events. What matters is whether it fits your event's pace, space and the people responsible for it.

This page explains the choices in general. It does not promise that any particular supplier, including us, offers video, a combined package or a particular staffing arrangement. Whatever you choose, ask the supplier to state in writing what they will provide, who will attend and what you will receive.

What one supplier can simplify

A single supplier can mean one conversation, one point of contact and one quotation. If both crews are from the same business, they may already have a way of working together, and one party is accountable for the overall plan.

The benefits only appear if the supplier genuinely staffs both outputs. Ask how many people are assigned to each, not only the total headcount. A combined booking that relies on one person doing both jobs is a different thing from two people working side by side.

What separate suppliers can offer

Separate suppliers let you pick each specialist on their own merits, and the style of one need not constrain the other. If you have seen a videographer whose work you admire, you are free to use them with a photographer you also like.

The price of that freedom is coordination. Someone needs to share the programme with both, agree who stands where, and decide what happens when both want the same position. That person is usually you, a planner or a family member.

Space and positions

Photographers and videographers both want a clear view of the key moment, and they often want the same spot. A procession, a cake cutting or a stage presentation will have a best vantage. Agree beforehand who takes it first and how they will move.

A worked example

For example, imagine a 400-guest company anniversary dinner with an award segment and a short stage performance. The organiser plans to book a photographer and a videographer separately because the company already works with a video studio.

How it affects cost and deliverables

What to tell the photographer

  • Whether a videographer will attend, and who they are.
  • Where they are expected to stand during the key moments.
  • Whether video lighting will be used.
  • Who coordinates the two crews on the day.

Can one person do both photography and video at the same time?

Both need attention at the same moments, so a single person usually has to choose which to prioritise at any time. Ask any supplier who proposes this how the two will be staffed, and what would be sacrificed in the moments that matter most.

Will two crews get in each other's way?

They can, in tight spaces or during processions. A brief conversation about positions, lighting and aisles before the event usually settles it. Ask each supplier to share their expected positions with the other.

Who should I ask to coordinate two suppliers?

One named person on your side, such as the organiser or a family member, should hold the run sheet and be the contact for both suppliers on the day. Do not leave the two crews to arrange it between themselves at the venue.
