Photography quote validity when the event is still being approved

Your event is not yet approved, so you need a quotation to proceed but cannot confirm the date, venue or budget.

Short answer

A quotation is valid for the scope and the period it states. If approval takes longer, or the date, venue or programme changes, the supplier may need to refresh the proposal. Ask for the validity date in writing, list the assumptions behind the price, and agree what triggers an update.

Many events are planned before they are approved. A committee must meet, a budget must be released, a venue must confirm. In the meantime you need numbers. A quotation helps, but it is only as firm as its conditions.

What does quote validity mean?

Validity is the period during which the supplier stands by the price and scope. After that date, the supplier may confirm the same terms, change them or decline to hold them.

Validity is not the same as holding a date. A quotation can be valid for a month while the event date remains open for others to book. If you need the date reserved, ask for that separately and ask what it requires.

What does the price assume?

Every quotation rests on assumptions, whether stated or not. Typical ones are the event date, the venue, the start and end times, the number of locations, the crew and the deliverables. Others may include the delivery timeline, image use and travel.

When approval is pending, some of these are uncertain. Write them down as assumptions. A quotation that says "based on a Saturday event at a hotel in the city, from 6pm to 11pm" is clearer than one that gives only a total.

Which changes need a refreshed proposal?

Not every change requires a new quotation. A useful way to think about it is by effect on the work.

A hypothetical example

For example, imagine a hypothetical university faculty planning a symposium. The date depends on a keynote speaker's confirmation, and the budget depends on a grant decision. The faculty asks for a quotation now.

The supplier issues one with a validity date, based on a Friday in the proposed month, from 9am to 5pm at the campus hall. The speaker then confirms a different day, and the grant is announced after the validity date. The faculty writes to the supplier, explains the new date and asks for a refreshed quotation. The supplier checks availability, confirms or adjusts the price and issues a new document. Because the original assumptions were written down, both sides can see exactly what changed.

What should you do while waiting?

Keep the supplier informed. A short note when approval is delayed lets them plan, and it gives you a chance to ask about extending the validity. Do not leave it until the validity date has passed.

What about deposits and confirmation?

Do not treat approval of the quotation as the same as confirmation of the date unless the document says so. If you need a date held while you wait, ask what that requires and record the answer.

Does a quotation hold a date for me?

Not necessarily. A quotation states a price and scope, while holding a date is a separate matter of availability. Ask whether the date is reserved, for how long and on what terms, and get the answer in writing.

What if the approval takes longer than the validity?

Tell the supplier early. They may extend the validity, confirm the price again or issue a new quotation. The outcome depends on the date, availability and any changes, so ask rather than assume the old figure still applies.

Which changes need a new quotation?

Can I get a rough figure before approval?

You can ask for a provisional estimate based on stated assumptions. Treat it as a planning figure, not a commitment, and ask which assumptions would change it.
