Planning a photography budget before the final venue is known

The venue is not settled, yet you need a photography figure for approval and want it to stay useful when the venue is confirmed.

Short answer

Plan around assumptions you write down. State the city or area, the likely venue type, the hours, the guest count and the key moments, then list the venue facts that would change the estimate: travel, access, lighting, permits and the number of rooms. Update the quotation as each fact is confirmed.

Plenty of events are planned in a different order from the one quotations assume. A date is fixed, a budget is due, and the venue is still under discussion. Photography still needs a figure.

What can you state without a venue?

A lot. The following do not depend on the venue and can be written down now:

  • Date or date options, and whether the day of the week matters.
  • Purpose and key moments, such as speeches, awards and group photographs.
  • Hours: a draft run sheet with start and finish times.
  • Guest count: a range if it is not final.
  • Deliverables: how many edited images, for what use and by when.
  • Area: the city or region you are considering.

These form the base of an estimate. The venue then adds or removes details.

Which venue facts change the estimate?

Each venue brings facts that can alter coverage. Ask about them as soon as a shortlist exists.

A worked example

For example, imagine a hypothetical annual dinner where the choice is between a hotel ballroom in the city and a resort outside it. The date, hours, guest count and key moments are the same.

The ballroom may need little travel but have restricted load-in times. The resort may need travel, parking and possibly accommodation, but offer outdoor settings. The estimate is the same on the shared assumptions and differs on the venue-dependent lines. Presenting both as scenarios helps an approver see the range.

How to present a provisional figure

Write the figure with its assumptions and a date for the update. For example: "Estimate for a city venue, six hours, one photographer, to be confirmed when the venue is fixed by a stated date." Use our budget scenarios tool to prepare two or three versions.

What should you ask each shortlisted venue?

Put the same short list of questions to every venue, so the answers can be compared fairly.

  • Is photography allowed throughout, and are any areas restricted?
  • When can a supplier arrive and load in?
  • Are passes or parking arranged for suppliers?
  • Is there a backup space if an outdoor area cannot be used?
  • Who is the venue contact for supplier access?

Write the answers into your brief. Each one turns an assumption in the provisional quotation into a confirmed fact, and the supplier can then revise the quotation with confidence.

What if the venue changes after booking?
