Start by separating the public event venue from the workplace, because each may have its own camera approval. Then list every session, demonstration and staff group with its room and time, so we can see where they overlap and how many photographers that needs. Agree what must be delivered the same day, who reviews captions and what is confidential.
Bayan Lepas is on the south-east of Penang island, beside the airport and a large industrial zone. Are there two sets of camera rules?
Say so first. The hotel ballroom has its management. The factory, lab or office has its own safety, security and confidentiality rules. Approval from one does not cover the other.
For the workplace, ask in writing:
- Is an induction or escort needed, and how long does it take?
- Which areas allow cameras, and which do not?
- Are there subjects that must not appear, such as screens, products or documents?
- Who approves images before they leave the site?

Which sessions overlap?
The number of photographers a day needs depends on what happens at the same time. Build a table from your real room schedule.

What does the crew's arrival depend on?
Penang International Airport and a large industrial zone sit close together here, but a short distance on a map says nothing about check-in, baggage, equipment movement or the road to your door. Tell us where the crew would actually arrive, on what date and when the site lets people in. We confirm travel for the venue address in writing and do not infer it from a nearby airport.
What needs to be delivered on the day?
Corporate events often need a few images quickly, with the full set later. Decide the following before the event:
- How many images are needed the same day, and in what form.
- Who writes or checks captions.
- Who reviews images for confidentiality.
- Who may share them, and where.

A worked example
For example, imagine a technology firm hosting a one-day customer forum at a hotel, followed by a plant visit for twenty guests.
The organiser sends the forum timetable with room names, and the plant's camera rules, which prohibit images of production screens and require an escort. She marks the opening session, the customer panel and the plant visit as must-haves. Two breakout talks overlap, so she picks one for full coverage and asks for the other at its start and end only. She also states that three images of the panel are needed by 5pm for a press note, and that her communications manager signs off captions. Our written reply sets out the entry time for the plant, who escorts the crew and how the same-day images will reach her.
