Who controls the event and the locations?

Start with the institution. A hall, a faculty lawn, a library entrance and a private function room each answer to someone. The organiser of the event usually controls the programme, and the institution controls the grounds.

Ask the events or convocation office for the current visitor and photography rules for your date. Rules differ between institutions and can change from year to year. We do not state a campus's policy on this page, and we plan from what you obtain.

Can everyone take part?

Access is often the main constraint. As one published example, a university's convocation guide limits each graduate to two invited guests and sets entry times for the hall. Your institution may differ, so ask.

Where and when do groups gather?

Choose one assembly point per cohort and keep it clear of passing traffic. Mark the window, then work backwards.

  3. Photograph: how many frames of how many groups?
  4. Release: when must people be elsewhere?

What happens in the hall?

Ceremonies sometimes limit photography from the seats or floor. Ask the institution what is allowed and who may photograph. If inside is restricted, plan portraits before the ceremony or after, outside the hall, and tell your guests the plan. A worked example

For example, imagine a faculty arranging group photographs for four cohorts on a ceremony day. Each graduate may bring two guests, and the ceremony hall allows photography only by the official team.

The organiser asks the office for the rules and the group-photo window, and learns the lawn is free for forty minutes after the ceremony. She sends us the cohort sizes and the order they leave the hall. We reply in writing with a schedule: ten minutes per cohort, one assembly point for each, and a covered area if rain arrives. She tells families the guest limit and the meeting spots ahead of time, and the lawn stays clear of strangers.

Common questions

Who gives permission to photograph on a campus?

Can all family members attend the group photographs?

How long does a group photograph need?

Count gathering and arranging, not only the photograph. A small group may take a few minutes, while a full cohort takes much longer. Tell us the numbers and your window, and we will say in writing what is realistic.

Can we photograph in the hall during the ceremony?

Ask the institution. Some ceremonies restrict who may photograph from the seats or the floor. If photography inside is limited, plan portraits before or after, outside the hall.
