What exactly is booked?

How do you move groups without disturbing the event?
The main risk is the gap. Guests who leave for portraits may miss a speech or a meal, and the programme may drift. Plan the move like a small event of its own.
- Pick a natural pause, such as after the meal or between sessions.
- Announce it earlier, so nobody is surprised.
- Appoint a host who knows the faces to gather people and bring them back.
- Set a firm end time, and stop when it comes.

What about comfort and safety?
Open ground by the sea brings sun, wind and uneven surfaces. Older guests may want shade and seating, and children need an adult close by near open water. Tell us who needs a short route. What if the coast cannot be used?
Agree a backup before the day. It should be a real place that fits the group, such as a lobby, terrace or garden room, and you should know who decides and when. MetMalaysia describes two monsoon seasons for Malaysia, and rain can arrive at short notice, so check its forecast close to your date. Our outdoor alternative plan records the decision.
If the coast is lost, the family and group photographs still happen at the backup. Only the setting changes.
A worked example
For example, imagine a family hosting a thirtieth anniversary dinner for sixty guests in a hotel function room, with a short group portrait on the lawn by the sea.
The host asks the hotel whether outside photographers are allowed, and whether the lawn is part of the booking. It is, until 6pm. She schedules portraits after the main course at 5.30pm, asks an uncle to gather relatives, and plans twelve minutes for three groups. She also names the pre-function lobby as the backup if the forecast shows rain. We reply in writing with the order of groups, who stands where and when we switch to the backup.

Is the shoreline part of our venue booking?
Do not assume so. The land next to a hotel or club may belong to someone else or be managed separately. Ask the operator exactly which outdoor area your booking includes, and send us the answer.
How do we take guests outside without interrupting the event?
Use a gap in the programme, such as after a meal or between sessions. Announce it ahead, send a host to gather people, and keep the session to the time agreed. We will say in writing whether the plan fits.
What if it rains or the sea is rough?

Can older guests or children join the coastal portraits?
