Tanjung Tokong is a coastal suburb on Penang island where many events take place in managed buildings: a condominium function room, a restaurant, a clubhouse. Who is managing the space?
Name the property and find the person who decides. In a condominium it is usually the management office or the committee. In a restaurant or clubhouse, it is the operator. In a shared space, there may be more than one party.
We do not state any building's policy on this site. Each building sets its own, and it can change. We ask you to obtain the terms for your date, and we plan from them.
What should you ask?
Put these questions to the management in writing:
- Do outside vendors need an approval, a pass or a deposit?
- Must vendor names be given in advance?
- Where may a vehicle stop to unload, which lift can be used and when?
- Which areas are part of the booking, and which are shared?
- Are there rules on flash, stands, or filming other residents or customers?

Where may the crew work?
Draw a simple layout. Mark the entrance, the lift, the room, any approved corner for portraits and any area that is off limits. Share it with the management and with us. A layout turns vague permission into something both sides can follow on the day.
Avoid assuming that a lobby, pool deck or garden is included in your booking. If portraits would use a shared space, ask for permission for that exact spot and time. If the answer is no, plan portraits in the booked room.
How are other people kept out of the coverage?
Residents, customers and other visitors did not agree to be photographed. Tell the host how you want this handled. Options include choosing backgrounds that avoid shared areas, photographing at quiet times, and asking guests to let the crew know if someone asks not to be included. A worked example
For example, imagine a company hosting a small launch for twenty invited guests at a restaurant on a ground floor of a mixed building. Other diners are in the restaurant and residents pass through the lobby.
The host asks the operator for vendor terms and learns that vendors must be named two days ahead, may unload at the side entrance and may not set up lights in the lobby. She sends these with a layout showing the booked room and a corner for product photographs. She also writes that other diners should not be in frame and that guests who prefer not to be photographed will wear a small sticker. We reply in writing with a plan that keeps the crew inside the booked room, and she shares it with the operator.
