Event photography in Kota Samarahan

Your event is on a campus, and you need to know who may photograph what and how the images will be shared.

Short answer

On a campus the first question is who is commissioning the photographs. Official coverage, a family booking and a sponsor booking each follow different rules. Check the institution's current guidance, confirm the organiser's authority, agree a plan for large cohorts and small groups, and decide who may see the gallery.

Kota Samarahan is a campus town. UNIMAS and the Samarahan campus of UiTM Sarawak are both based here, so most photography enquiries come from graduations, student events and institutional programmes. The town matters less than who is organising and which spaces they control. This page helps an institution, a student group or a family settle that before booking.

Who is commissioning the photographs?

This question decides almost everything. Common cases are:

  • the institution, for an official record;
  • a student body, for its own event;
  • a family or group of friends, for personal portraits;
  • a sponsor or department, for promotion.

Each may have a different right to enter certain spaces, and each has different image-use needs.

What does the university already say?

Institutions publish their own convocation rules. The UNIMAS convocation page for 2026 gives the dates as 2 to 5 November, names Arena Gemilang at DeTAR PUTRA as the venue, and links a dress code, a Registrar's circular and a graduate photography booking document. The existence of a booking document tells you that photography may already be organised through the university, so check it before you hire anyone.

Ask the institution these questions in writing:

  1. Is there an official photographer or booking scheme, and what may other photographers do?
  2. Are hired photographers allowed inside the hall, or only outside it?
  3. Are there limits on guests, seating or movement during the ceremony?
  4. Which campus spots can be used for portraits, and do they need approval?
  5. Is flash or lighting restricted?

Which campus, which venue?

Kota Samarahan has more than one campus, and each runs its own calendar. Give us the institution, the hall or building and a map pin. A family travelling from elsewhere should confirm the graduate's exact session, because large convocations run in several sessions over several days.

The town is reached from Kuching by the Kuching to Kota Samarahan expressway. Property and transport listings also mention a BAS.MY bus service linking Samarahan with Kuching and Serian. Confirm any bus route directly with the operator, since routes change. We do not state journey times. Allow extra time on convocation days because roads and car parks fill.

How do large cohorts and small groups fit together?

A convocation day is crowded. Hundreds of people want a few photographs each, and the ceremony has a fixed timetable. A plan helps.

If it is a family or a student body, the plan must fit around the official timetable. Check the dress code too, because attire that is rented from the university must be returned on time and may limit when portraits can be taken.

What permissions and sharing are appropriate?

An example

For example, imagine a student association that wants photographs of its members in graduation attire. The institution allows portraits at certain campus spots after the ceremony. The association sends the faculty groups, the order and the three spots. We suggest a time slot for each group and a covered backup in case of rain. The gallery is shared with members only, through a link the association controls.

Evidence we ask for

We ask for the current institutional guidance, evidence that the organiser may commission photographs, an approved plan for groups and sharing, and the exact campus and venue address. We do not guess at campus boundaries or which building hosts which part of the day.

Common questions

Can a family hire its own photographer for a convocation?

That depends on the institution's current rules for the ceremony and the venue. Ask the institution in writing what is allowed in the hall and what applies outdoors. We follow what it confirms and do not assume rules from another campus.

Can we photograph inside the ceremony hall?

Only if the institution says so. Universities often limit hall access and seating, and may have official photographers. Ask what is permitted for guests and for hired photographers before you book.

How do we photograph many graduates in a short time?

Plan group categories and slots before the day, such as faculty groups and family portraits, and choose spaces that do not interfere with the ceremony. A time-based plan works better than photographing as people arrive.

Who can see the gallery?

Agree this before the day. A cohort gallery, a family gallery and a sponsor gallery can have different access. For participants under 18, extra care is needed, so tell us ages and who may consent.
