It has a large convention centre, hotel ballrooms, a riverside promenade and a cluster of museums and heritage buildings, and one event often uses several of them. What is the job here?
A city event is usually several jobs at once: a main hall, side sessions, registration, meals, a gala evening and perhaps a visit to a heritage or outdoor site. Each has a different operator, time and photograph. The first step is to separate them.
Which spaces need coverage at the same time?
List the venues and rooms in order of importance. For each, note the time, the people and the one image that must exist.
Trade press describes the Borneo Convention Centre Kuching as having a Great Hall that can be divided into sections and 14 meeting rooms. It also reports a planned expansion, BCCK2, with a sheltered link to the existing building and a target of 2028. Seating figures differ between listings, so ask the venue for current room plans. Hilton Kuching is listed with 315 rooms and a ballroom that seats several hundred. Treat these as pointers and ask each venue for its own figures.

What does each organiser or operator require?
Large venues often issue a supplier manual covering loading, badges, set-up times, power and behaviour in halls. We ask for it early and follow it. Our guide on venue conditions that affect event photography lists topics to raise.
Credentials and image releases are separate. Credentials are about access. Releases are about what may be published. Decide who issues each, in writing, before the day. See event photography privacy, permission and image use.
Is a heritage or outdoor site in the plan?
Sarawak Tourism lists the Kuching Waterfront as a promenade of about 1.5 kilometres along the Sarawak River, with the Darul Hana Bridge, the Old Courthouse and the Borneo Cultures Museum nearby. It says the waterfront and bridge host festivals and events. Each site has a manager who decides whether a commissioned photographer may work there, and when.
Treat each as a separate request with its own date and time. Museums, mosques, temples and parks have their own rules about cameras and visitors. The public waterfront may still be crowded during a festival. Do not make the essential photographs depend on a site you have not yet cleared.
How does travel fit in?
The Ministry of Transport Sarawak lists Kuching among the state's main airports, so many outstation guests arrive by air. Sarawak Tourism describes Kuching International Airport as about ten kilometres by road from the Borneo Cultures Museum. Allow time between the airport, hotel and venue. We do not state journey times, because traffic changes. We check the plan for your date.

An example
For example, imagine a three-day association conference with a main hall, two breakout rooms, a gala dinner and a half-day visit to a cultural site. The organiser sends the programme, three venue contacts and the twelve people who must be photographed. We suggest one photographer for the main hall, a second for the breakouts on the busiest day, and a plan for the site visit that waits for the site manager's reply. Can you cover two venues at the same time in Kuching?
That depends on the programme. Two rooms at once usually need two photographers, and travel between sites needs a buffer. Send the concurrent-session plan and we will say in writing what crew is realistic.
Who gives permission to photograph at a convention venue?
The venue operator and the organiser. Ask for the venue's supplier manual and any rules on credentials, set-up and lighting. We follow what the venue confirms and do not assume rules from another venue.
Do delegates have to consent to being photographed?
Tell attendees in the registration material that photographs will be taken and how they will be used. Offer a way to opt out where possible. Our privacy guide explains how to record those instructions.
Can the crew photograph a heritage or visitor site as part of the event?
Only with permission from whoever manages that site. Treat it as a separate request with its own timing. We do not assume access, and we plan the essential photographs so they do not depend on it.
