Check who is hosting and who controls the programme. If the family or friends organise and pay, it is a private party. If the employer organises or sponsors it, there may be rules about branding, images and approval. A party can be both, for example when the employer hosts a farewell lunch and the family hosts a dinner. Treat them as two events with separate plans.

Who are the important people?

A retirement brings together people from many parts of a life: family, close friends and colleagues from different years. Ask the retiree, or the host, to list them. Identify who must appear in a group photograph and who will be present for only part of the event.

For example, imagine a retirement dinner for 40 people. The retiree's spouse and children, three former colleagues and a mentor are the key people. The host plans group photographs for each group at the start of the evening, before the meal, and a final photograph at the end.

Should colleagues be in the photographs?

If the retiree wants it. Colleagues are often a large part of a retiree's working life. Tell us who matters, and we plan a group photograph for a time they are present. If some prefer not to be photographed, we avoid them.

Can we photograph a presentation or gift?

What if the employer is also involved?

If the employer hosts part of the event or has rules about images, tell us. A company event has a different scope and approval process, and may need its own planning. We confirm who approves what.

Do we need to share the images with the employer?

Not unless you choose. Private photographs belong to the host and the retiree. Decide before the day whether any may go to former colleagues or the workplace.
