Cancelled sets within a continuing music festival

One act has pulled out, the festival goes on, and your photography plan has a gap in it.

Short answer

When a set is cancelled, the record should say so honestly. Update the coverage plan for the acts that remain, review which sponsor and artist commitments depended on the missing set and decide how the gap is described. Do not create or label images to suggest the set happened, and do not pass off another day's photographs as a substitute without saying so.

Festivals change. A performer falls ill, travel fails or a stage is delayed, and a set that was in the programme does not happen. The festival carries on, and the photography has to adjust with it, without hiding what changed.

Start with the facts

Write down what happened: which set, which stage, when it was due, when the cancellation was announced and what replaced it, if anything. A short factual note is enough. It becomes the basis for the plan, the captions and any conversation with sponsors or artists.

Update the plan for what remains

The remaining lineup may have more room than before. A cancelled slot frees time that can go to another act, to the crowd or to a second look at an earlier set.

Check the commitments

A set may carry promises to others. A sponsor may have paid for activity around a headline act. An artist's team may have expected images for press. A cancelled set may change what is owed.

Describe the gap honestly

Reports and captions should say what happened. "Set cancelled" is a plain sentence. Do not create images to suggest the set was held, and do not edit or caption an image from another act or day so that it appears to be from the cancelled slot.

If a substitute image is genuinely useful, such as a rehearsal shot or an image from the previous day, label it as such, with the correct date and context. Check with the artist's team before using it, since its use may be limited.

Changes to the booking

A hypothetical example

Imagine a two-day festival where a headline act cancels on day two. The organiser fills part of the slot with a shorter set by a local act and leaves a gap for the rest. A sponsor had a branded activation planned around the headline slot.

The photographer is told at noon. The plan moves the freed hour to the second stage and the crowd, adds the replacement set and notes the sponsor activation as running at reduced activity. The sponsor report says what happened. No images from day one are labelled as day two.

What we confirm in writing

Do we still pay for coverage of a cancelled set?

That depends on the written terms and on how the cancellation was handled. We cannot decide it on this page. Can we use photographs from another day instead?

Only if they are labelled for what they are. A photograph from another day or another act must not be presented as the cancelled set. Caption them accurately, and agree with sponsors and artists how such images may be used.

What if the cancelled artist was promised to a sponsor?

Can the photographer move to another stage?
