What this worksheet does

It helps you divide one photography cost among several parties and still end with a number that reconciles. You see each department's or event's share, the shared expenses and, clearly marked, any balance that nobody has taken yet.

It suits organisers paying from more than one budget, agencies recharging clients and sponsors who fund part of a service.

How to use it

  1. Enter each agreed cost line from the quotation, such as coverage, travel, editing or optional items.
  2. List the events, departments or funders who will share the cost.
  3. Choose the allocation method and apply it to the shared lines.
  4. Add the tax treatment your finance team has confirmed.
  5. Read the totals and the unallocated balance.

Reading the result

Each party sees its share, and the total of shares plus the unallocated balance equals the amount you entered. If a difference remains, one of your lines is missing or double counted.

Assumptions and limits

Common questions

Can the worksheet work out the tax for me?

No. Enter the tax treatment as your finance team or adviser confirms it. The worksheet applies the figures you give and does not decide what applies to you. Ask the person responsible for finance if unsure.

What if I do not know one of the amounts yet?

Leave it as unknown. The worksheet keeps it in view as an unallocated balance, instead of hiding it in a guess. Update it when the quotation states the figure.

How should shared expenses be split?

Choose a method you can explain, such as by event, by hours or in equal parts, and apply it to every shared line. Write the method down so approvers see the same logic.

Is the result an invoice?

No. An invoice comes from the supplier. The worksheet helps you check that the shares equal the agreed total, and prepare your own internal records.
