A supplier's invoice should show the correct legal name, the supplier's details, the scope, each charge and the tax position that applies to that supplier. Tax treatment differs between suppliers, so ask the supplier to state it. Your finance team or adviser can confirm what your own approval and tax rules require.
An approval-ready total is one a finance team can read without a phone call. It names the right company, lists each charge, states the tax position and flags what could still change.

What should the invoice show?
At minimum, check the following against the quotation.
- Parties: the supplier's name and details, and your company's exact legal name and address.
- Description: the event, date and scope, matching the quotation.
- Charges: each line separately, including any approved overtime or travel.
- Tax position: whether tax is charged, and at what amount, as the supplier states it.
- Total and payment terms: the amount due, the due date and how to pay.
- Reference: a quotation or purchase order number, if your process uses one.
If the invoice differs from the quotation, ask why before approving it.
Why is the tax treatment not the same for every supplier?
Malaysia's Sales and Service Tax (SST) is administered by the Royal Malaysian Customs Department. Whether service tax applies depends on whether the service is a taxable service and whether the supplier is registered, which turns on matters such as turnover. A supplier may or may not charge it.
For that reason, this page does not state a rate or assume a treatment. Ask the supplier to put the position on the quotation, and check the official MySST information or your adviser if your finance team needs more.
What about e-invoicing?
The Inland Revenue Board (LHDN) has introduced e-invoicing through its MyInvois system in phases, based on annual turnover, with exemptions for smaller businesses. Thresholds and timelines have been updated more than once, and published summaries differ, so confirm the current position on the LHDN site.
Practically, ask the supplier whether it issues e-invoices, what details it needs from you, such as your company's tax identification number, and how you will receive the document. If your finance team has a required format, tell the supplier early.
A worked example
For example, imagine a hypothetical company whose finance team needs a purchase order, a registered name on the invoice and a total that includes a possible overtime allowance.

The answers can be added to the quotation before approval, and the invoice then follows without surprises.
How to present an approval-ready total
Give approvers three things: the fixed total, a list of provisional items with a maximum and a short statement of assumptions. A common mistake: approving a total with open items
An approver signs off one figure, and later overtime or travel arrives as a separate charge. For example, a hypothetical company approves a six-hour quotation, and then the programme runs late. If the quotation had shown a ceiling for overtime, the approval already covered it. If not, a second approval is needed.
Ask for provisional items to be listed with a ceiling before you approve, so the total you sign is the total you pay.
