Short answer

Enter when capture finishes, the final-gallery deadline you want, the working days you have, the number of selection and revision rounds, and when approvers are away. The calendar lays out proposed dates for delivery, review, revision and sign-off, and flags any step that depends on something not yet agreed. The dates are proposals until your quotation confirms them.

What this calendar does

It takes the end of capture as day one and builds a dated sequence of steps: first delivery, your review, any revisions, and final sign-off. Each step shows who acts, and where one step cannot start until another is finished.

It is most useful when more than one person must approve photographs, or when the final gallery has to be ready for a launch, a report or a handover.

How to use it

  1. Enter the date capture finishes and the deadline you want for the final gallery.
  2. Add the working days available to you. Mark leave and public holidays yourself.
  3. Set the number of selection rounds and revision rounds you expect.
  4. Add dates when any approver is unavailable, and the date you need to accept the gallery.
  5. Read the calendar and the list of open dependencies.

Reading the result

Each milestone is a proposed date, not a promise. Where a step has no owner, or an approver is away, the calendar marks it as unresolved. Settle those first, because they are the usual reason a gallery slips.

Assumptions and limits

The calendar owns work after capture. The live-event rolling photo production planner owns release during the event. We do not infer working-day rules, and we do not state a delivery time for you. Your written quotation states the delivery timeline that applies to your booking.

Common questions

Does the calendar decide how many working days I have?

No. You enter the days you can actually work, including public holidays and leave. The tool does not assume any working-day rule for you, your approvers or the photography team. If you are unsure, leave the field open and the calendar will mark the dependency.

What if one approver is unavailable for part of the schedule?

Enter the dates they are away. The calendar shows which review or sign-off step would stall, so you can name a backup approver or move the step. The earlier you record this, the fewer surprises after the event.

Is this the same as live release during the event?

No. Images released while the event is still running belong to the live-event rolling photo production planner. This calendar starts when capture ends and covers delivery, review, revision and sign-off.

Can I use the dates to change a booking that already exists?

Use them as a basis for the conversation. A new date only applies once it is agreed in writing, so send the calendar to your booking contact and ask them to confirm which milestones can change.
