A private gallery is only as private as its settings and its recipients. Decide who gets the link, whether they may download, whether the link can be forwarded and how long it stays open. Tell recipients what they may do next. A forwarded link or a downloaded file can leave your control, so choose the arrangement that matches the promise you made to guests.
After the event, everyone wants to see the pictures. A private gallery seems the easiest way. It also raises a few decisions that are easy to skip.

Who are the recipients?
Start with people, not technology. List the groups who should see the images: the host, the family, staff, guests, a sponsor, a supplier. Different groups may need different access.
A wedding gallery for close family has different needs from a conference gallery for all attendees. Our photo sharing and privacy plan lets you write this down.

What is possible depends on the system used. Ask what your delivery arrangement supports before promising guests anything.
Download and forwarding
Download is the key decision. A guest who downloads a file can print it, edit it, post it or forward it. A guest who only views can still take a screenshot, but the effort is higher.

Match the setting to the promise
If you told guests the photographs are for private viewing, an open link that any recipient can forward does not match that promise. If you told them the photographs may be posted, a locked gallery may be stricter than needed.
When the gallery includes images of children, use the narrowest access you can. See children's event photographs.
Onward sharing rules
Say clearly what recipients may do. For example:
- Keep and print the photographs for personal use.
- Share with immediate family only.
- Do not post images that show other guests without asking them.
- Do not use the images for sales or advertising.

A worked example
For example, a company shares a gallery of its family day with staff. The host sets a password and a four-week expiry and allows downloads of small files only. The email says the images are for personal use and not for social media. Two employees who opted out of publication are kept out of the set.
Three weeks later, the host sends a reminder to download. After expiry, the host keeps one archived copy under the company's own storage rules and removes the gallery link.
When someone asks for removal
Plan for it. If an image has been downloaded and forwarded, removal is harder. Agree a process, as set out in removal, withdrawal and deletion requests.
Reminders and the end of the gallery
A gallery that expires without warning frustrates people. Send one reminder before the end date and say how a late request will be handled. Also decide who is the single contact for access problems, so that guests do not each write to the photographer. Keep a short list of who was given the link, because that list is what you will use if a removal request arrives.
Staff and volunteers with access
Hosts often give several helpers the link so they can answer guests. Each extra person is one more route out. Share the gallery with as few helpers as practical, and ask them to follow the same rules as guests.
Check the delivery before it goes out

What is the difference between viewing and downloading?
Viewing lets a person look at images on screen. Downloading gives them a file they can keep, print or send on. Viewing offers more control. Downloading offers more convenience. Choose based on what guests were told.
Can a link be forwarded?
Usually yes, unless the system ties access to a password or an individual sign-in. Assume a link can be passed on, and set expectations. Ask what protection your delivery arrangement actually provides.
Should the gallery have an expiry date?
An expiry date limits how long images stay reachable and makes you decide what happens next. Pick a period that fits your use, and keep your own copy of the final set.
Can guests share the photographs on social media?
That is the host's decision. State the rule. If images show other people, sharing them publicly raises the permission issues covered in our publication guides.
What about guests who opted out of publication?
A private gallery does not mean the image is cleared for public use. Keep a record of who opted out, and keep their images out of any public selection.
