Who owns the permission?
Start with a single name: the person who can say yes for the property. For a family home or private garden, that is the owner. For a farm, orchard or stay that welcomes visitors, it is the operator, who may already have rules for events and for outside suppliers.
Ask them to confirm in writing:

- Which parts of the property are approved for photographs.
- Whether guests who are not family may be photographed.
- Which areas are off limits, such as living quarters, animal areas or neighbouring land.

How will people and equipment move around?
Surfaces decide more than distance. Grass after rain, packed earth, a slope, steps or a narrow path change where seating goes, how long it takes to move a group and whether older relatives can reach the photograph spot.

Shelter, power and the weather
An outdoor event on private land depends on three things the property may or may not provide: cover from rain and sun, a safe electricity source, and a place to put things down. Ask the owner what is available and who controls it. We will say what we bring and what we need confirmed, and we do not assume any of it exists.

Privacy boundaries
On a private property, privacy matters in both directions. The host may not want the house interior or neighbouring land photographed. Guests may include children or people who prefer not to appear in images. Agree before the day which areas and which people are included, and name one person who can settle questions on the spot.
A worked example
For example, imagine a family celebrating a milestone birthday at a relative's garden for about sixty people. The garden has a covered area for food, an open lawn for seating and a path leading from the road.
The host asks the owner which areas are approved and learns that the back of the house is off limits. She sends a ten-second video of the path and notes that the lawn is soft after rain. We reply in writing with where the crew enters, which group photograph moves under cover if it rains, how the older guests reach the lawn and what we need confirmed about power. The plan was settled before the day.
