Equal attention matters. Graduates in the last session of the day should receive the same quality of record as those in the first.
Plan the schedule and the gaps
Sessions can be back to back, or separated by gaps for resetting the hall. Both affect crew planning. A short gap means little time to review, change batteries or move equipment; a long gap raises the question of whether coverage should be continuous or divided into blocks.

An example scenario
Imagine an institution with four convocation sessions over two days, each in the same hall, each with a different faculty. The programme is the same, but the guest of honour changes for the second day. The institution wants a consistent archive and a gallery for each faculty.
The brief might fix a standard list of moments for every session, add the guest of honour as an extra for the second day, and require folders named by date, session and faculty. This is a hypothetical example only, and your own sessions will decide the real plan.
Consistency of the record
A consistent record needs a few agreed rules before the first session:
- the same list of core moments;
- the same naming convention for files and folders;
- the same style of editing and presentation, agreed in the brief;
- the same approach to captions and names.

Access and rules for each session

Changes between sessions
Programmes shift. A speech may be shortened on the second day, a hall may be rearranged or a late guest may be added. Name one person who can approve changes between sessions and who will brief the photographer before each one begins. Delivery and sharing
