List the copies you already have, how long you want to keep the photographs, the places you can store them and who looks after them. The planner returns a short checklist for downloading, backing up and reviewing. It cannot promise how long any provider keeps your files.
What this planner does
It produces a practical checklist for keeping your photographs safe. You enter the copies you have, how long you want to keep the images, where you can store them and who is responsible. The planner then lists the steps: what to download, what to back up, when to review and how to hand over.
How to use it
- List the copies that exist now, such as the delivery link, a download and a shared album.
- Say how long you want to keep the photographs.
- List the storage places you can use, in general terms.
- Name the person responsible.
- Mark any images that need special handling, such as restricted ones.
- Press the button and review the checklist.
Reading the result
The checklist is sorted by what to do first. Downloading a complete copy comes before everything else, since a link can stop working. Next come backups in a second place, a note of what is where and a date to check that the files still open.
If the images were delivered with different versions, such as previews and finished files, our guide to watermarked previews and finished image files helps you work out which to keep. For shared galleries, see private gallery access and onward sharing.
What to do next
Check the delivery against the agreement with the photo delivery acceptance checklist and plan how the images will be used with the post-event image use planner. Our page on our photograph editing and delivery process explains what we deliver, and our guide to event photo delivery, editing and preservation covers the stages in more detail.
Assumptions and limits
The planner does not promise that any provider keeps your files beyond the contract, and it does not store your answers on a server. Private device details are optional. Treat the result as a checklist to adapt, and review it each year.
Before you book, ask us what our delivery terms say about access and retention, and we will explain them in writing so you can plan your own copies.
Ask about our delivery and retention termsCommon questions
How long will my gallery stay online?
That depends on the provider's terms, which should be in writing. The planner does not assume a period. Ask before you book, and download your own copy as soon as you can.
How many copies should I keep?
Many people keep at least two in different places. The planner asks where you can store them and suggests a check, but the choice is yours.
Do I need to enter details about my devices?
No. Those fields are optional. You can describe storage in general terms, such as a home drive or a cloud account.
Who should look after the archive?
Name one person. For a family, that might be a relative who is organised; for a company, a role such as the communications lead.
Ask about our delivery and retention terms
Before you book, ask us what our delivery terms say about access and retention, and we will explain them in writing so you can plan your own copies.
What happens next: You send your event details on WhatsApp. Our team reads the brief, asks what is missing, then confirms in writing whether the date, venue and coverage can be booked, with a quotation. Opening WhatsApp does not send anything, and a message is not a booking until both sides confirm.
