Date holds, tentative reservations and availability checks

You need a date kept free while approvals are pending, and you want to know what that really guarantees.

Short answer

An availability check tells you the calendar is open now. A hold keeps a date for a stated time, often without payment. A reservation commits both sides to a scope. Ask which one you are being offered, when it expires, whether the supplier may release it, and what turns it into a booking. Suppliers differ, so read the wording you are given.

Many events cannot confirm a photographer at once. Budgets need approval, venues need replies and guest lists settle late. A hold or a tentative reservation exists for that gap. It helps when both sides understand it.

Suppliers use these words in different ways. One person's reservation is another's hold. Judge the arrangement by what the message says, not by the label.

Questions that define a hold

Ask these four whenever a date is held for you.

  1. Expiry. On what date and time does it lapse?
  2. Exclusivity. Is the date kept for you alone, or only noted?
  3. Release. May the supplier release it early if another client asks, and will you be told first?
  4. Conversion. What exactly turns the hold into a booking?

If any answer is unclear, ask again. A hold with no stated expiry is a misunderstanding waiting to happen.

Why we do not give one universal rule

How long a date can be held, and whether it is exclusive, depends on the supplier, the season and how many enquiries are waiting. We do not present our arrangement as how every photographer works. Where we hold a date for you, we state the terms in writing. Where we cannot, we say so and suggest the next step.

Availability depends on more than the calendar

A date can be open for the photographer and still not be workable. The crew you need might be committed in another state. Travel might not fit. Your venue might not have confirmed access. See confirming photography access before committing to a booking for the venue side.

A hypothetical example

Imagine a charity committee waiting for a sponsor to approve its budget. It asks for a Saturday to be held for ten days. A reply says the date is open and will be kept until the following Friday at noon.

On Thursday, the sponsor asks for a day more. The committee writes before the expiry, and receives a new written expiry. Had it waited until Saturday, another client might have taken the date. The written expiry made the situation clear to everyone.

Comparing several suppliers

When you need to move the date

Questions to send with your request

When you ask us to hold a date, include the event date, the venue, the decision you are waiting for and when it is due. Add a fallback date if you have one. With those four facts, the reply can be specific.

What to do when a hold is about to lapse

Write two days before the expiry. Say whether you are confirming, extending or releasing the date. If you are confirming, ask what is needed to convert the hold. If you are extending, give the new decision date. If you are releasing it, say so, because it lets the supplier offer the date to someone else and keeps goodwill for next time.

Common questions

Does a hold stop the photographer taking another job?

Not necessarily. Some holds are exclusive for a period and some are soft. Ask directly whether the date is kept for you alone, and until when. Get the answer in writing.

Can a hold be extended?

Ask before it expires, not after. An extension is a new agreement and depends on whether another client has asked. Put the new expiry in writing.

Do we pay to hold a date?

That depends on the arrangement offered. Ask whether any payment is needed, what it would cover and whether it carries into the booking.

What if we have two possible dates?

Say so at the start. Ask whether both can be held, and what happens to the second when you choose. Do not assume two holds are free.
