Rescheduling an event-photography booking

Your event date has moved, and you want to know what that does to the booking you already have.

Short answer

A new date is a new availability question. The same crew may not be free, travel may change and the price may be reviewed. What happens to the existing booking depends on the written terms you agreed, so check them first. Tell the photographer as soon as the date moves, and ask for the outcome in writing.

Dates move. A venue is unavailable, a speaker is delayed, a family circumstance changes. What matters is how clearly the change is handled once it happens.

What a new date changes

A date is more than a day on the calendar. Changing it can affect several things at once.

Ask about each. A reply that covers all five is a good sign.

Start with the written terms

Before you contact anyone, read what you agreed. Look for wording on date changes, notice, fees and whether payments carry over. If the wording is missing or unclear, ask for it in writing. Do not rely on what a friend experienced with another supplier, because arrangements differ.

Tell the photographer early

Early notice is useful for two reasons. It gives the supplier time to check availability, and it may affect the terms. Send the change in writing with the old date, the new date or range, and the reason if you wish to share it.

Check the venue on the new date

A free photographer is not enough if the venue changes its access. Confirm the venue, the entrance, the setup time and any restrictions on the new date. A hypothetical example

Imagine a company moving an annual dinner by two weeks because the ballroom had a double booking. The administrator writes to the photographer with the new date the same day.

The photographer checks the calendar and confirms the crew is free, but travel to the new date differs. The reply lists both facts and asks for acceptance. The administrator logs the amendment with the original booking. The company knows exactly what was agreed.

When the answer is no

Sometimes the supplier cannot do the new date. That is difficult but clear. Ask what the written terms say about the existing booking, and what your options are. Recording the change

Whatever is agreed, put it in a dated written amendment: old date, new date, any price or travel effect, crew, payment position and the reply that accepted it. Our photography scope change log is built for this. Attach it to the original quotation.

What we do

Questions to send in one message

When you write about a date change, include five items: the booking reference, the old date, the new date or range, the venue status and a request for the effect on crew, travel and price. Ask for the reply in writing. One complete message usually brings one complete answer, and avoids a long exchange of partial replies.

Keep the old and new dates visible in the file name of the amendment, such as 'Dinner date change 14 Nov to 28 Nov'. Months later, anyone searching the folder will see at once what happened.

Will the same photographer be free on the new date?

Not always. Ask for an availability check on the new date before you announce it. We confirm the crew for your new date in writing, and tell you plainly if it differs.

Does the price stay the same after a date change?

It depends on the terms agreed and on what changes with the date, such as travel or season. Ask for the effect on price in writing before you accept the new date.

How early should we tell the photographer?

As soon as you know. Early notice gives more options. The written policy on date changes may also depend on how much notice is given, so check it.

What if the new date is not yet decided?

Say so, and give a range of possible dates. Ask whether a hold is possible, and see the guide on holds. Do not leave the original date unaddressed.
