When a company changes owner, name or contacts, tell the photographer in writing and ask what needs updating. Do not assume the booking moves to a new entity automatically. Confirm who is now the client, who may give instructions and who pays, and have the changes recorded in an updated document.
Companies change. They are renamed, restructured, acquired or merged. Staff move on, and new people take over the event. A photography booking made months earlier may then name people and entities that no longer match. A little housekeeping keeps the record accurate.

What kinds of change matter?
Different changes have different effects:
- Name change. The same entity under a new name.
- Change of ownership. The same entity with new owners.
- Transfer or merger. The work or the contract moves to another entity.
- Change of contact. A different person now manages the event.
- Change of approver. A new person authorises spending or changes.
Some of these leave the booking untouched, while others raise questions about who is the client. We do not give legal advice. If the change may affect rights and duties, ask your own adviser, and tell us what you learn.
Why not assume the booking moves?
It is tempting to say "we are the same company, so nothing changes". Sometimes that is true. When ownership or structure changes, though, the entity named in the booking may not be the one that continues. The new entity may need to confirm the booking, and the supplier may need to check that it can proceed on the same terms.
Without a record, payment may be directed to the wrong place or a decision may be made by someone who is no longer authorised. A short written confirmation avoids that.
How do you update the contacts?
For a change of contact, tell us in writing who the new contact is, what role they hold and from what date they may give instructions. Ask the previous contact or a senior colleague to confirm if that is possible.

How do you update payment details?
If the payer changes, ask for an updated quotation and invoice with the correct name and billing details. Do not redirect payment on the strength of a message alone. Confirm with the contact already named in the booking, or with a senior person.

An example scenario
For example, imagine a company books photography for an annual dinner in October. In August, it is acquired by a larger group, and its finance function moves to the parent. The event manager who made the booking leaves the company.
The new event lead writes to us with the date of the change, her name and role, and the name of the finance contact. She asks whether the booking continues. We reply in writing, confirming the contacts and that the booking stands unless the client asks for changes. For the invoice, we ask for the parent's billing details in an updated document before issuing it.
What if the event is very close?

How do you close the loop?

We confirm the date, venue, crew, deliverables and quotation in writing, along with the current client, authorised contacts and billing details. When something changes, we issue an updated record and tell you which version applies.

Does the booking pass to the new owner automatically?
Not necessarily. It depends on the type of change and on the written terms. A change of name is different from a transfer to another company. Ask your adviser about the legal effect, and ask us what we need to update on our side.
What if our authorised contact has left?
Tell us the new contact in writing, with the date from which they are authorised. Until we receive that, we continue to follow the person named in the booking. Ask the previous contact, or a senior colleague, to confirm the change.
Who should pay after a change?
The payer named in the booking stays responsible until the change is agreed in writing. If the invoice should now go to a different entity, ask for an updated quotation and invoice with the new details.
What if we are not sure the change affects the booking?
Ask us. It is better to confirm than to assume. A short message describing the change and the date is enough to start.
