Closing a photography booking after all agreed work is delivered

The photographs have arrived, and you want to know that nothing is left hanging.

Short answer

Closing a booking means checking that all agreed work has been delivered and approved, that payments are settled, that gallery access and storage are understood and that you know who to contact if a question arises later. A short written close-out message removes doubt and records the end of the job.

The photographs are delivered, the event is over and everyone is tired. It is easy to let the booking drift, with a few loose ends that nobody remembers a few months later. A short close-out gives both sides the same picture.

What does "closed" mean?

A booking is closed when all agreed work has been delivered, any approvals have been given, payments are settled and both sides understand what happens afterwards. It is a practical checkpoint, not a legal term.

Closing does not mean the relationship ends. You may book again or have a question months later. It means that the job described in the quotation is complete, and the record says so.

Has everything agreed been delivered?

Start with the written scope. Check the quotation and any amendments against what you received:

  1. The number and type of images, as stated.
  2. The formats and sizes, such as web and print versions.
  3. Any extras, such as selected highlights or a preview set.
  4. The delivery dates, including any staged delivery.
  5. The way images were supplied: link, download or other.

Have approvals been recorded?

Where the booking includes an approval step, such as accepting the final gallery or approving a selection, record it. A short message is enough: "We confirm receipt and acceptance of the final gallery on 20 March." Note the date and who gave it.

Are payments settled?

Check the invoices against the quotation and any amendments. Make sure each payment has been made or is scheduled, and that your records match ours. Gallery links, download windows and storage periods differ from one booking to another, and the written terms set them. Ask how long you will have access, what format files are stored in and whether you can request them later.

Who do you contact later?

Agree a support contact for questions after closing: a request for a file, a question about image use or a re-download. Note their name and how to reach them. If your own contact changes, tell us; see our guide on booking records when ownership or contacts change.

An example scenario

For example, imagine a company receives its final gallery for a product launch three weeks after the event. The event manager checks the number of images, the formats and the delivery date against the quotation. Everything matches, and the final invoice has been paid.

She sends a short message: "Gallery received and accepted on 20 March. All invoices settled. We have downloaded the files and will contact you with any questions about re-use." We reply to acknowledge, and both messages are filed with the booking.

What if something is still open?

How do we know the booking is complete?

What if we find a problem after the booking is closed?

Tell us as soon as you can. Whether a problem can be addressed after closing depends on the written terms and the nature of the problem. Keep your close-out message and the delivery record, as they help to identify what was agreed.

How long will we have access to the gallery?

Ask. Access arrangements and storage periods are set in the written terms, and they differ between bookings. Download and back up what you need, rather than relying on a link staying open.

Do we need to approve the final delivery?

Where the booking includes an approval step, yes, and the quotation says how. A simple written acceptance, with a date, is a clean way to record it.
