Handling travel disruption before the photography crew departs

Something has changed before the crew has even left, and you want to know what can still be done.

Short answer

Tell the booking owner at once, state what changed and how much time remains, and review the realistic options: revised travel, an earlier departure, a changed route or a replacement arrangement. Decide with the booking owner, record the decision in writing and update everyone who needs it.

Some travel problems appear on the day. Others appear earlier, while the crew is still at home and there is time to act. The earlier it is noticed, the more options remain. This page is about that early window.

Start with a calm review

Tell the booking owner straight away, even before you have a solution. Give the facts: what changed, when you learned of it and when the crew was due to leave. Then review together.

Avoid rushing into the first idea. A quick, careful look at three or four options usually beats an instant decision, provided time allows.

Which are realistic depends on the date, the location and the remaining time. We do not know that until we see the facts. We also do not state operator details here. Ask the operator for current information for the date.

Check, then decide

For each option, find out three things. Can it get the crew to the venue in time? What does it cost, and who pays? What does it do to the coverage? Then decide. The booking owner chooses, and the choice is written down with the time and the reason.

Talk to the venue early

If the crew will arrive later or by a different route, tell the venue contact. The venue may need to move the access time or arrange a different entrance. What about rescheduling?

Sometimes the right answer is to move the event or part of it. That is the host's decision and has wider effects. Rescheduling an event-photography booking describes the booking side. We do not suggest it unless other options fail.

A hypothetical example

For example, two days before a destination wedding, the crew learns that the service they planned to take has been changed. The new timing would put their arrival after the ceremony.

The planner tells the booking owner the same day. Together they look at an earlier departure on another route and the cost of an extra night. The venue is asked to confirm the earlier access. They choose the earlier route with an advance arrival, record it, and send the revised plan to the crew and the venue contact. The ceremony is covered as planned.

If the photographer can no longer attend

Keep records

Write down what changed, what you considered, what you chose and who agreed. If a cost question arises later, the record answers it. If someone joins the conversation midway, they can catch up quickly.

Tell the right people in the right order

Start with the booking owner, then the venue contact, then anyone who depends on the crew's arrival, such as the host's coordinator. One short message to each, stating the change and the next step, is enough. Avoid long threads where the decision is lost between replies.

What counts as travel disruption?

A cancelled or changed service, a closed road, a route that is no longer usable, bad weather, illness or a change in the venue's access. Anything that stops the crew reaching the venue as planned counts, whatever the cause.

Who decides what to do?

The booking owner decides, with our advice. We set out the options, their effect on coverage and any cost, and you choose. The decision is recorded so that everyone works from the same plan.

What if there is very little time?

Act on the quickest realistic option first and record it. With limited time, the question is what can be done, not what would be ideal. Tell us as soon as you know, because every hour narrows the choices.

Is a replacement photographer always possible?

Not always. It depends on the date, the location and the availability of someone suitable. A replacement also needs a briefing. We say plainly what we can and cannot arrange, and we do not promise a replacement we have not confirmed.
