Decide before the party who receives what. Group the recipients, such as the birthday child's family, each guest family and the wider guest list, and decide whether each gets a private link, a small selection or nothing. Photographs of other people's children go only where the host has agreed, and we deliver through the process in your quotation.
At a children's party, the best photographs are often of someone else's child. Guest parents see the photographer working and ask for pictures, sometimes on the day and sometimes weeks later. Having a plan makes this easy to answer. This page belongs to our guide to baby and child-celebration photography.
Who might ask for photographs?
Think in groups, not individuals.
| Recipient group | Likely request | Common approach |
|---|---|---|
| The birthday child's household | The full gallery | Private link, as the commissioning party |
| Close relatives | A selection | Link or shared album, with forwarding rules |
| Guest families | Photographs of their own child | Small selection, or group photographs they appear in |
| Other guests | A general look at the party | A few images, or none |
| Venue or entertainer | Possibly | Only if the host agrees |
Write this table for your party, and fill in what each group should receive.
Why not send everyone the full gallery?
A full gallery contains many children, and their parents have not necessarily agreed to their photographs being sent to others. A smaller selection protects everyone. It also keeps the gallery from circulating in messaging groups, where it is hard to control. Our guide to sharing a private event gallery through messaging groups explains why.
Parents of the birthday child hold the booking, so they decide what the family receives. For other children, the host asks each parent what they are comfortable with. Our guide to children's event photographs: questions authorised adults must resolve lists the questions.
Making selections practical
There are three workable approaches.
- One host gallery. The host receives everything and decides what to forward. Simple, but the host does the work.
- Per-family selections. We prepare a small set for each guest family. Needs time and a guest list.
- A shared highlights set. A small group of general photographs that every parent agrees to receive.
Choose one before the party, and tell us how many families are involved. The quotation states what is included, and our photo sharing and privacy plan records who gets which set.
Telling guests what to expect
A short message before the party saves questions afterwards. It might say that a photographer will attend, how photographs will be shared and who to contact with a request. Our guest photography communication builder helps you write it. If a parent prefers that their child is not photographed, they can say so, and the host passes it on.
Links, downloads and removal
Decide whether a link can be forwarded, whether downloads are on and how long the link remains active. Our guide to private gallery access and onward sharing explains the options. Also decide who handles a later request to remove a photograph, and how quickly. Our guide to removal, withdrawal and deletion requests lists what to clarify in advance.
Rules and permissions
Photographs of identifiable children can be personal data, and an event label such as "private party" does not settle who may receive or use them. The Personal Data Protection (Amendment) Act 2024 is published on the JPDP website. We do not give legal advice. If you have a specific question, a qualified adviser can help.
A hypothetical example
Imagine a birthday for twenty children at a play venue. The host chooses a private gallery for the birthday family, a highlights set of group photographs for all guest families and, for the four closest friends, a small selection of their own child. The host sends a short note before the party. We prepare the three sets, deliver through private links with forwarding turned off and send the host a record of who received what.
Recording image use
Use the post-event image use planner to record any limits on posting, printing or portfolio use, and keep it with the delivery notes. For several families with different preferences at the same party, see several families' photo preferences at one child's party.
Checklist
- List the recipient groups: host family, each guest family, other guests.
- Decide what each group receives: link, selection or nothing.
- Check that other parents agree to their child appearing in a shared set.
- Decide whether downloads and forwarding are allowed.
- Name who handles removal or withdrawal requests.
- Tell guests in advance how photographs will be shared.
Tell us the recipient groups and what each should receive, and we will plan the selection and delivery around them and confirm the arrangement in writing.
Plan how we share party photographsCommon questions
Can every guest family receive the full gallery?
Only if the host and the families agree. A full gallery contains other people's children. Many hosts prefer a smaller selection for guest families, such as photographs of their own child and group photographs they appear in.
Can we send each family only photographs of their child?
Often yes, as a small selection. It takes extra time to prepare, so decide early whether you want it and tell us how many families are involved. Your quotation states what is included.
What if a parent asks us to delete a photograph of their child?
Agree in advance who handles removal requests and how quickly. We follow the host's instruction on what to remove from shared sets. Our guide to removal, withdrawal and deletion requests lists what to clarify.
Can guests download photographs and post them?
Only if you allow it. Decide whether a link can be forwarded, whether downloads are enabled and for how long it stays active. State the rule in a short message to the guests.
Do the same rules apply if the party is at a venue?
Venues may have their own photography rules. Ask the venue, and tell us what applies. The host's instructions on guest families apply on top of the venue's.

What happens next: You send your event details on WhatsApp. Our team reads the brief, asks what is missing, then confirms in writing whether the date, venue and coverage can be booked, with a quotation. Opening WhatsApp does not send anything, and a message is not a booking until both sides confirm.
