What is the gathering for?
Ask the committee to state the purpose in a sentence. An annual dinner for members, a programme celebrating a cultural tradition and a meeting with guests from other associations each call for a different record.
We plan from the committee's answer. We do not assume a purpose from the type of association, and we do not describe its customs. The programme the committee gives us governs.
Who is attending?
List the expected groups: office-bearers, members, families, guests of honour, performers, youth members. This helps decide which moments need the most attention.
We do not infer relationships or backgrounds from names. If the committee wants a caption to say that people are related or share an identity, the committee provides it. Elder members, guests and preferences
Associations often include older members and honoured guests who deserve a respectful approach. Ask the committee to tell them beforehand that a photographer will attend, and to pass on anyone's preferences. Some will be pleased to be photographed, and some will prefer not to.

A hypothetical scenario
For example, imagine an association holding a dinner for about two hundred members and guests, with welcome speeches, a short cultural performance and a presentation to long-serving members. The committee names the secretary as the person who gives instructions and supplies a list of honoured guests.
The photographer covers the arrival, the speeches, the presentation and the performance, with a group image of the committee at the start. Captions are checked by the secretary before the gallery is released. This is a hypothetical outline only.
Keeping a record for the future

Youth members and performers

Do you need to know which dialect group or clan we belong to?
No. We need to know what the event is, what is planned and what you want recorded. Descriptions of identity are the association's own to give. We do not infer them from names or appearance, and we do not caption anything the committee has not confirmed.
Who gives instructions on the day?
One or two committee members. Name them in advance and tell us their roles. Associations often have several office-bearers, and instructions can conflict on the day if no one has authority.
Can we photograph elder members and honoured guests?
Yes, if they agree. Ask the committee to tell them beforehand, and give us a list of key guests with their preferences. Some members will welcome the attention and others will not.
How should images be used afterwards?
Agree this with the committee. An association might want images for its archive, a newsletter or a commemorative record. Public posting is a separate decision. Put the permitted uses in writing and share the document with us.
