What to agree before exchanging a booked photographer for another service

This is the point that needs the most care. When you exchange a booked service, you may have already paid something. What happens to it depends on the written terms and on what is agreed for the exchange.

Possible outcomes include the amount being applied to the new service, held for a later date, or treated under the cancellation terms. Do not guess. Ask for the treatment of any payment to be written into the amended document, together with the new price and the balance. How do you compare the old and new scope?

Who accepts the revised arrangement?

Both sides need to agree. On the client side, that is the person authorised to commit. If the original booking was approved by a director or a committee, check whether the exchange needs the same approval. An example scenario

For example, imagine a client has booked four hours of event photography for a product showcase. A month later, the client realises that a short video highlight would serve better than the full photographic record.

The client asks whether the booking can be changed. We reply that we need to confirm whether the new service can be provided for the date, and provide a new quotation if so. The quotation compares the two scopes side by side, states how the earlier payment is treated and gives the new balance. The client accepts in writing.

How much notice does an exchange need?

The later you ask, the fewer options remain. A change made weeks ahead leaves room to check the crew, adjust the plan and issue a new quotation. A change a day or two before the event may not be possible, because the crew and equipment are already committed. Ask as soon as you know your plans have shifted, and tell us the date by which you need an answer. What if the answer is no?

If the exchange is not possible, the original booking stays unless you choose to end it under its terms.
