Move the photographs to a lasting home before the account closes. Name an authorised person who will still be there, ask the photographer to confirm the new recipient in writing, and download and verify the full set. Do not rely on a work or committee account for long-term access, and record where the archive now lives.
Work emails, school accounts and committee mailboxes are not permanent. People leave, terms end and accounts are closed. If the photographs are tied to such an account, access can vanish with it, sometimes without warning.

Why is this a risk?
A delivery is often addressed to one person's email. The gallery link, the download page and the notification messages all go there. When that account closes, the link may stop working, notices may bounce, and nobody may be able to prove who received what.
The risk is greatest when the person who organised the event has left. The photographs may still exist, but the way to reach them has gone. A little planning now keeps the delivery safe.
Who should receive the photographs now?
Choose someone who will still be there in a year, and who has the authority to hold the photographs for the group. In a company, this might be a department head or a records officer. In a committee, it might be the secretary or a successor in the post. In a family, it might be a trusted relative.
Avoid naming a personal account without checking that the organisation agrees. Photographs of a school, a company or a community event may have rules about where they are stored and who can hold them. What should you tell the photographer?
Write a short message with five items.
- The event and its date, so the right delivery is found.
- The old recipient and the date the account will close.
- The new recipient and their role.
- Confirmation that the new recipient is authorised.
- What you want: a re-sent link, a re-addressed delivery or a copy of the notes.
Ask for the reply in writing. We confirm what can be re-sent or re-addressed under your agreement, and we do not assume that every delivery can be changed. How do you secure the files themselves?
Do not leave the files in the gallery and hope the link survives. Download the full set, verify it and store it with the new owner. The steps are the same as for any fresh delivery: compare counts, open samples and keep a second copy. Checking download completeness before a gallery expires describes them.
Then pass on the paperwork. The quotation, confirmation and delivery notes show what was agreed, who commissioned the work and what uses are permitted. Without them, the new owner may not know the limits on use.
A worked example
For example, imagine a department that held a staff awards night. The coordinator who booked the photographer is leaving at the end of the month, and her work email will close with her. The gallery link is in her inbox.
She asks her manager to name a successor, and the manager names the new communications officer. The coordinator writes to the photographer with the details and asks for confirmation of the new recipient. She downloads and verifies the full set, saves it to the department's shared drive, and passes on the quotation and notes. On her last day, the shared drive holds everything, and the new officer knows where to look.
What if time is very short?
Prioritise. Download the most important events first, and verify what you can. Tell the photographer the date and ask what is possible. Gallery expiry and the photographer's archive explains why a link and an archive are different things, and why you should not assume a link will last.

Who can we name as the new recipient?
Someone with a lasting role and authority, such as another officer, a successor in the post or a trusted person agreed by the group. Avoid naming a personal account without the organisation's agreement. The photographer will want a written instruction from someone authorised.
Do we need the photographer's permission to change the recipient?
The delivery is made under your agreement, so tell the photographer and ask for written confirmation. Do not just forward links, because access may be linked to the original recipient. A clear instruction avoids confusion later.
What if the account closes before we finish?
Tell the photographer immediately. Options depend on the agreement and what is retained, so we cannot promise in general. Acting before closure gives the most choices, so start the handover as soon as you know.
Should we forward the gallery link to a personal email?

How do we prove who owns the photographs?
Keep the quotation, the booking confirmation and the delivery notes together. They show who commissioned the work and what was agreed. Pass these to the new owner along with the files.
