Planning photography for several dates before choosing one

You have two or three possible dates and want to know your options without committing to any of them yet.

Short answer

Share your shortlist with the same details for each date, say what decides between them and when you expect to choose. A provisional enquiry lets a photographer tell you what is possible. It does not reserve anything. A date is confirmed only when the booking is agreed in writing.

Choosing a date is rarely a single decision. A venue may be free on two Saturdays. A key guest may confirm their availability only next month. A religious or family calendar may narrow the options to a few possible days. In the meantime, you want to know whether photography is practical on each.

What does a provisional enquiry mean?

A provisional enquiry means you are asking about availability and planning while the date is not fixed. It is not a booking. Nothing is reserved unless it is agreed in writing. Our guide on date holds, tentative reservations and availability checks explains the terms in more detail.

This difference protects both sides. You are free to choose without penalty, and the photographer is not led to believe a date is secure when it is not.

How do you present several dates fairly?

Give each date the same information, so replies can be compared. A short table works well.

What decides between the dates?

Tell the photographer what the uncertainty depends on. It may be a venue confirmation, a guest's availability, a budget approval or a religious calendar. Also say when you expect to know. This lets the photographer understand how long the question will stay open.

An example scenario

For example, a community group is planning an annual gathering of about 150 people and has three possible Sundays across two months. The hall can confirm only one of them by the end of the month.

The organiser sends the table above to the photographer with a note: "The hall will confirm one date by the 30th. We prefer the second Sunday. Can you cover each of these dates?" The photographer replies with availability and a note on what a confirmation would require. When the hall confirms, the organiser tells the photographer straight away, and the booking is agreed in writing.

What if the date changes after booking?

What if you have to decide quickly?

We reply to a shortlist with what we can check for each date. The date, venue, crew, coverage and quotation are confirmed in writing only once you choose, and we do not treat a provisional enquiry as a reservation.

How do dates affect the cost and the crew?

Different dates can mean different conditions. A weekend date may be busier than a weekday. A date near a public holiday may involve travel. An evening event may need longer coverage than a morning one. Ask us to note any differences between your options, so the quotation for the date you choose reflects its conditions.

When the choice is made, send a short message with the final date and the reason. Photographers value knowing why a date was chosen, since it explains what changed.

Common questions

Can a photographer hold all my dates?

Do not assume so. A date is secured only when the booking is confirmed in writing. Ask what the process is for provisional dates, and whether anything is held while you decide. Our guide on date holds explains the usual practice.

How many dates should I list?

Two or three is usually practical. A long list is harder to check and may slow replies. If you have more, rank them in order of preference.

What if one date is much more likely than the others?

Say so. Mark your preferred date and explain what would move you to another. This helps the photographer put effort where it matters.

Do I need to tell the photographer when I have chosen?

Yes, as soon as you know, whether you choose them or not. Dates released quickly help others plan, and it keeps the record clear.
